Job Title: Administrative Assistant

Location: Mason, OH

Hours/Schedule: Monday-Friday, 8 am to 5 pm

Type: Contract(10 month expected duration)

Overview

This role provides high-level administrative support to senior leadership by managing calendars, communications, meetings, travel, and procurement activities. The position requires strong organizational skills, attention to detail, and the ability to work independently while supporting a fast-paced executive environment.

Responsibilities

Manage and coordinate calendars for senior leaders, prioritizing requests and resolving scheduling conflicts

Monitor, organize, and respond to emails on behalf of senior leaders; draft correspondence as needed

Schedule and coordinate virtual and in-person meetings, including logistics and technology setup

Arrange travel itineraries, including flights, lodging, and transportation, in compliance with company policies

Create and manage purchase orders, ensuring alignment with procurement and budget guidelines

Maintain accurate records of purchases, expenses, and administrative documentation

Communicate effectively with internal and external stakeholders to ensure timely follow-up and alignment

Qualifications

Required

High school diploma or equivalent

Experience supporting administrative, scheduling, or coordination activities

Proficiency with Microsoft Outlook and Microsoft Teams

Ability to manage multiple priorities independently in a dynamic environment

Preferred

Associate's or bachelor's degree

Prior experience supporting senior leadership

Experience with Coupa or similar procurement software
