Summary The Supervisory MSA will provide clerical and administrative support for the Health Administration Service, which is part of the Ralph H Johnson VA Medical Center in Charleston, SC. They monitor the status and progress of work and makes day-to-day adjustments in accordance with established priorities and will oversee the Health Administration Service. Gives on-the-job training to new employees in accordance with established procedures and practices. Responsibilities This position requires an understanding of VHA Directives for: VHA Outpatient Scheduling Processes and Procedures, Consult Processes and Procedures, Outpatient Clinic Practice Management Process for managing patients when patient demand exceeds current clinic capacity, Priority Scheduling for Outpatient Medical Services and inpatient hospital care for service-connected Veterans. Knowledge of VA regulations, Systems Redesign Principles, local Medical Center Memoranda/policies, and standard operating procedures. The Supervisory Medical Support Assistant (MSA) position serves as the direct line supervisor for all Advanced Medical Support Assistant (AMSA) staff to include other Program Support Staff and is a foundational role within the Health Administration Service. Other assigned duties but are not limited to: Providing program oversight, while directly managing and capturing the program's daily, monthly, and quarterly statistical data in order to track/report all services provided by the Health Administration Service. Resolve complex problems to ensure patient services are met. Evaluate new products, equipment, and systems to make recommendations for improved operations. Identify educational or training needs. Make final decisions on selections. Evaluate performance and take disciplinary action when necessary. Working collaboratively with the clinic nursing/physician supervisors. Responsible for extracting and analyzing data to provide reports in support of performance measures to senior management. Works collaboratively in an interdisciplinary coordinated care delivery model and performs all related duties; customer service and other duties assigned for the proper and timely treatment of patients and assure appointment schedules are maintained by MSA staff for one or more outpatient clinics. One year of experience equivalent to the GS-7 grade level [leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.] Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training in a patient support setting. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. Physical Requirements: Work is performed in an office setting in an area that is adequately lighted, heated and air conditioned.
