Location: Louisville, KY | Pay Rate: $14.75 - $18.04/hour | Schedule: PT/Mon-Fri (12:30am - 5:30am)

As an Administrative Assistant III with PDS Tech Commercial, partnering with a recognized leader in the Distribution Industry, you'll provide high-level administrative support that keeps essential operations running smoothly. This role goes far beyond routine office tasks-you'll handle complex, confidential projects, guide other clerical personnel, and play a key part in ensuring seamless communication and workflow across the department.

What You'll Do (Day-to-Day Impact)

In this dynamic role, you will:

Welcome visitors, address inquiries, and manage phones-ensuring every interaction reflects professionalism and department standards.

Oversee, guide, or direct lower-level clerical staff as needed.

Independently schedule appointments and engagements for department leaders.

Coordinate all aspects of meetings, conferences, and special events-including catering, materials, and equipment.

Arrange travel and lodging, and process expense reports.

Interpret and apply administrative decisions and policies to complete complex tasks and projects.

Review, prioritize, and route incoming mail and correspondence.

Order office supplies; maintain filing systems, department records, and databases.

Create and manage reports, spreadsheets, charts, and presentations.

Assist with monitoring departmental budgets and expenditures.

Coordinate office equipment repairs and collaborate with facilities for optimal workspace use.

Draft documents, update departmental websites, maintain data systems, and handle confidential matters with discretion.

Research, analyze, and summarize data for reports; support large project coordination.

Maintain leadership calendars.

Communicate across shifts and departments, monitor flight information, track cargo freight/ULD equipment, and evaluate reports for operational accuracy.

Required Qualifications

High school diploma or equivalent with three or more years of administrative support experience.

Strong listening, verbal, and written communication skills.

Experience with standard reporting methods and general office administrative procedures.

Intermediate or higher proficiency with Microsoft Word, Excel, Access, PowerPoint, and internet research tools.

Ability to work seated for extended periods and perform standard office tasks involving hand grasping, keyboarding, filing, and document handling.

Ability to communicate effectively through sight, hearing, and other essential means to maintain a safe and productive work environment.

Preferred Qualifications

Ability to exercise discretion and independent judgment within established policies.

Experience using pivot tables, advanced formulas, or data-analysis functions.

Strong attention to detail and ability to multitask.

Excellent organizational, problem-solving, and time-management skills.

Pay Details: $14.75 to $18.04 per hour
