Division Order Supervisor

System One has partnered with a Tulsa-based oil & gas services group that is seeking an experienced Division Order Supervisor to lead ownership management, division order setup, and process improvement efforts across a diverse client portfolio.

This position requires a deep understanding of division order principles, title review, and how ownership structures directly impact accounting and revenue distribution. The ideal candidate is someone who cannot only maintain accuracy in ownership decks but also build scalable processes, enhance data integrity, and lead improvements in workflow efficiency.

Key Responsibilities

Establish, maintain, and update DOI (Division of Interest) records for wells, leases, and production units.

Interpret title opinions, deeds, conveyances, probate documents, and other ownership evidence.

Ensure ownership setups meet all contractual, regulatory, and accounting requirements.

Oversee suspense resolution, reconcile ownership discrepancies, and ensure timely corrections.

Manage interest transfers related to sales, assignments, estates, and trusts.

Ensure compliance with unclaimed property and escheatment rules.

Act as the primary contact for royalty and working interest owners regarding ownership, payments, and division orders.

Provide guidance to owners on required documentation for transfers, banking updates, and address changes.

Maintain detailed communication logs and documentation to support audits and compliance.

Ensure property and ownership data in accounting systems (e.g., Enertia or similar) is accurate, complete, and consistent.

Partner with accounting and technology teams to refine DOI setup processes and strengthen internal controls.

Lead or support system conversions, data migrations, and deck clean-ups.

Build out and improve standard procedures to increase efficiency and reduce errors across ownership workflows.

Mentor and supervise junior staff supporting ownership and division order functions.

Work closely with client accounting teams to resolve ownership issues affecting revenue distribution or JIB.

Assist with client onboarding, audits, and due diligence activities.

Qualifications

Bachelor's degree in Business Administration, Energy Management, Accounting, or related field preferred.

7+ years of oil & gas division order, ownership management, or land administration experience.

Strong understanding of ownership documentation, title interpretation, and regulatory requirements.

Proficiency with Enertia or comparable upstream accounting systems.

Excellent analytical skills, attention to detail, and communication abilities.

Comfortable managing multiple clients and deadlines in a professional services or fast-paced environment.

Proven experience building processes or improving ownership workflows is highly valued.

Work Environment

This is a full-time, in-office role in Tulsa, OK.

Onsite presence is required to collaborate with internal teams and support clients effectively.
