Office of Chief of Staff-Operations Division
Job Focus Area
The Operational Support Services team within the Division of Operations, Office of the Chief of Staff, provides targeted internal support to the Louisiana Department of Education focusing on the internal operations of the state agency. The Administrative Coordinator 4 will provide support to the team and agency in areas such as contracts and procurement, use of technology to improve processes and agency efficiency, and records management. This team member should have a supportive, problem solving, critical thinking mind set and should be ready to pivot and support the agency when a need arises.

The Administrative Coordinator 4 should have experience in complex spreadsheet formula writing and in critically analyzing a technical problem and developing a solution for the problem.

Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
Develop metrics and reports, track project progress, and recommend operational improvements.
Support the Administrative Program Director 3 in document management and retention for the agency.
Facilitate cross-team communications and follow up on action items, ensuring alignment and accountability.
Maintain and update databases, spreadsheets, and tracking tools for contracts, survey responses, attendance, or other program-related data.
Draft, format, and proofread official correspondence, reports, presentations, talking points, and briefing materials for internal and external stakeholders.
Maintain, organize, and update program files, records, and shared drives, ensuring compliance with state record retention policies and departmental procedures.
Position-Specific Details:
Appointment Type: Job Appointment. This position will be filled as a temporary job appointment that may last up to 4 years. The person hired for this position is expected to regularly report to the Baton Rouge office.
Work Schedule: Work hours are Monday - Friday. Work hours will be determined.
Compensation: The salary offered will be determined based on qualifications and experience.
