Reports To: Executive Assistant Classification: Non-Exempt Full Time Salary - $50,000 annually

Summary: The Administrative Assistant provides comprehensive administrative and operational support to a dynamic team of scientists and research professionals. This role ensures the smooth day-to-day functioning of the office by coordinating communications, managing documentation, assisting with project logistics, and maintaining organized systems that support research efficiency and compliance.

Essential Duties and Responsibilities: The essential functions include, but are not limited to the following: Provide general administrative support to research staff, including scheduling meetings, notetaking, preparing correspondence, and maintaining electronic and physical filing systems. Perform clerical tasks such as typing, photocopying and transcribing documents. Greet and welcome guests including answering and directing phone calls and messages, plus making follow up phone calls. Support the procurement process including coordinating, receiving, and tracking incoming and outgoing deliveries. Ability to perform internet inquiries and research including ChatGPT. Coordinate travel arrangements, expense reporting, and event logistics for research conferences or team activities. Maintain office supply inventory, equipment logs, and vendor communications. Support onboarding of new employees, providing and reviewing orientation forms & materials. Track project timelines, deliverables, and documentation to ensure compliance with internal and external requirements. Manage calendars, coordinate appointments, and handle internal communications for leadership and project teams. Maintain confidentiality of sensitive corporate information, research data and personnel information. Provide administrative support for laboratory operations, such as procurement requests and recordkeeping. Assist in maintaining databases, spreadsheets, and other digital tracking systems used in corporate administration. Skills and Qualifications: Education: Associates Degree in Business Administration, Office Management, or a related field or comparable experience in an administrative or office support role. Experience & Skills: 2+ years of administrative experience, preferably in a research, scientific, or technical environment. Strong organizational and multitasking abilities with excellent attention to detail. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, ChatGPT) and familiarity with Google Workspace or similar tools. Strong written and verbal communication skills. Ability to manage sensitive and confidential information with professionalism. Comfortable working in a fast-paced, team-oriented environment with multiple priorities. Familiarity with scientific terminology or research documentation (preferred but not required).

Ability to sit and stand for extended periods including: o Front-desk coverage / event setup periods of standing/walking o Heavy computer/phone work prolonged sitting, repetitive hand use Receiving deliveries / stocking supplies / moving file boxes occasional lifting/carrying Manual dexterity to operate a computer and other office equipment. Must be able to lift at least 15 pounds at a time. Vision and hearing acuity to perform job duties effectively.
