GILL Administrative Assistant for Production & Project Management
Provides administrative support to the project management and field
staff of a high end, design-build, general contractor through; telephone
answering, scheduling, and assisting with the coordination of project
logistics. Requirements: High school degree or equivalent; customer
service experience; professional phone manner and excellent
communication skills; fluency in reading and writing English; proven
organizational skills and attention to detail; proficiency in Microsoft
Word and Excel; multi-tasking competency; sound judgment, sense of humor
and flexibility of mind. Must have a valid driver\'s license and pass
basic DOT Physical, as will occasionally drive company trucks. The job
requires the ability to: lift 30 pounds, get into and out of a truck cab
and bed, sit for long periods of time. General knowledge of construction
practices is preferred. Benefits after successful completion of 60-day
Introductory Period: Health, vision, and dental insurance; accident,

reimbursement for company tasks. Reports to: Company President, Vice
President, and HR Director Primary Tasks: Answers telephones, first in
staff order. Maintains field crew schedule, with company president\'s
direction. Works with Administrative Assistant for Sales & Estimating to
maintain current job list. Project Management Assistance: liaises with
subcontractors & crew and communicates with customers regarding the job
schedule; assembles and verifies documents for job startup folder;
responsible for porta potty and dumpster ordering and cancellation;
assists Project Managers with other as-needed items, including ordering
of project materials and supplies. Tracks and ensures timely renewal of
company\'s and field employees\' licenses & certifications. Project
Close Out: creates and monitors punch-list schedule; sends client thank
you letters and satisfaction surveys; compiles customer warranty book;
schedules and tracks callbacks. Safety Administration: assigns safety
devices & PPE to field staff and maintains relevant inventory; ensures
SDS binders are current; schedules DOT physicals, lead & zinc tests, and
respirator tests & fittings as necessary; works with HR Director to
prepare designated safety reports & documents. Truck, Tools and
Equipment Management: utilizes the company\'s asset management and
tool-tracking system to monitor tools and equipment locations; schedules
tools and machinery repairs and vehicles & heavy equipment maintenance,
as needed. Various as-needed administrative and scheduling tasks,
special projects, co-staff support.
