Project Administrative Assistant

This in-office position performs the role of an administrative assistant to the Project Manager on SSP's LE2 project, a large, complex Engineering, Procurement and Construction (EPC) project taskforce. This position assists in essential job duties and functions with the overall objective of working in a team environment consistently providing top-quality administrative support to projects from start-up to close-out, while maintaining solid customer relationships. -Assist PM with action items, audits, assessments, appraisals, cost submittals, schedule deliverables, project review, purchase requisitions, various engineering activities and other job-related duties.

Administratively assist with major project activities, including support of task force objectives and/or project milestones

-Administratively assist LE 2 Project team in the preparation, input into SharePoint and publication of weekly/monthly status reports to client, (and track weekly achievements). Converting/merge documentations, publish task packages for review via the SharePoint design review site and track the design review through closure.

Participate in task force meetings

Execute administrative tasks

Ensure that project correspondence and project documentation are handled according to a prescribed format

Administratively assist in writing, editing, and updating the (Project) Procedure Manual and Job Bulletins

Apply in-depth knowledge of set-up, maintenance, and close out of company contract files and records retention procedures in accordance with the Project File Index and Retention Schedule

Understand task force organizational structure and importance of positive interface with Clients and all disciplines toward overall effectiveness of the engineering, procurement, and construction/field effort

Comprehend client billing and task force related charges

Set up and maintain project logbooks and correspondence numbering system, both hard copy and electronic in accordance with the Project File Index and Retention Schedule

Maintain knowledge of contract terms as they apply to reimbursable items, mobilization, overtime, travel, and other situations

Greet and register all visitors entering and leaving the office/project site.

Handle incoming telephone calls in a professional and courteous manner, maintain records as necessary.

May coordinate activities of other project support technicians

May coordinate space allocation for project task force

Maintain compliance with all applicable policies, procedures, and standards

Plan, organize, and carry out assignments as directed

Meet expectations on attendance and punctuality

Other duties as assigned

Adhere to and support SSPs Health, Safety and Environmental and Sustainability Policies.

The position relies primarily on established policies, procedures, and applicable work practices to make decisions as they apply to the job duties and responsibilities.

REQUIREMENTS

A combination of education and directly related experience equal 8 years of progressive administrative assistance support experience. Minimum of a HS diploma is required.

Must be fully versed in using the Microsoft Office Suite products (Word, Excel, PowerPoint, Sharepoint and Access)

Must have strong oral and written communication skills as position involves daily interactions with a broad spectrum of employee to address issues and position serves as EandP coordinator on committees and working groups.

Ability to communicate effectively with audiences that include but are not limited to management, coworkers, clients, vendors, contractors, and visitors

Job related technical knowledge necessary to complete the job

Ability to attend to detail and work in a time-conscious and time-effective manner

Proficient in use of company specialized software programs

Superior interpersonal and communication skills, both written and verbal

Superior organizational skills, judgment, flexibility

Preferred: Administrative assistance support experience working on a large complex task force/project directly reporting to project management in the EPC industry
