The work location of this role is on-site, meaning it will be performed in the specified office on a full-time basis due to the business needs of the team.
We are looking for an Executive Assistant to support Vice Presidents on LinkedIn's Legal & Public Policy team. In this role, you'll work directly with the VP of Enterprise Legal Affairs and the VP of Protection, Competition, and Defense, and will be responsible for a mix of administrative and operational activities. The ideal candidate will be proactive, organized, able to maintain strict confidentiality of corporate and personal information, and bring a blend of professionalism, passion and flexibility to the role.
Responsibilities:
Full support of the VP of Enterprise Legal Affairs and the VP of Protection, Competition, and Defense, and supplemental support of their respective teams
Plan, organize and manage executive calendars (resolve overlapping commitments and protect / align time with priorities)
Organize, schedule, manage logistics, and ensure content preparedness (including pre-reads, PowerPoint decks, and other communications) for internal and external meetings and events, including team meetings, off-sites, culture events, and team building
Actively participate in meetings for notetaking and follow-up summaries and documentation
Anticipate critical rhythm of the business initiatives
Coordinate all domestic and international travel arrangements
Manage and reconcile expense reports, purchase orders, and procurement requisitions in accordance with budget and department and company-wide policies and standards
Partner with stakeholder teams outside of Legal & Public Policy function to help coordinate cross-functional efforts and initiatives
Proficiently answer, screen, and route internal and external correspondence, requests, subpoenas and other communications
Coordinate corporate signature requirements as?needed globally, including preparing, mailing, and otherwise assisting with the filing and registration of corporate documents
Support knowledge management systems, including managing and updating Sharepoint sites, document libraries, trainings, and playbooks
Provide back-up support for other executive assistants when needed and champion the admin community
Maintain and update email distribution lists / aliases
Support special projects as needed
Act as a point of contact with workplace services to meet facility needs for the team
Provide input to improve processes, efficiency, and execution of the organization
Drive changes in systems, tools, and processes, and establish and share best practices
Maintain a strict degree of confidentiality along with excellent judgement, discretion and a high degree of maturity and professionalism
Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with little to no direction
Partner closely with other executive assistants and the Chief of Staff on all department-related matters and initiatives
Basic Qualifications:
5+ years of experience working at a senior and/or executive administrative level with at least 3 years of experience supporting VP+
Preferred Qualifications:
Experience working as a trusted business partner to a VP+ level executive
Thrives in a fast-paced, demanding environment
High operational ability to execute quickly with strong attention to detail and accuracy
Excellent communication, analytical and organizational skills
Ability to professionally interact with senior leaders and anticipate their needs
Comfortable collaborating with other EAs to get things done and ensure LinkedIn achieves its mission
Demonstrates ability to be proactive, take initiative, and exercise good judgment, discretion and confidentiality in all tasks
Ability to effectively manage time, prioritize tasks, and work within deadlines and handle high level of ambiguity
Ability to consistently solve complex problems creatively after in-depth evaluation of variable factors
Collaborative spirit with ability to act as a team culture steward and build relationships, mentor and work effectively across EA team at LinkedIn
Demonstrates excellent understanding of how an organization operates across functions
Advanced knowledge of MS Office (Outlook, Word, PowerPoint, Excel) and familiarity with cloud-based applications (SharePoint, Google Docs)
Ability to set up and manage virtual meetings via MS Teams and Zoom

The pay range for this role is $94,000 to $154,000. Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, depth of experience, certifications, and specific work location. This may be different in other locations due to differences in the cost of labor.
