A prestigious private estate and hospitality-focused organization in Rancho Santa Fe is seeking an experienced and polished Administrative Manager to oversee daily office operations, manage administrative staff, and support executive leadership across multiple high-end residential and service properties. This is an excellent role for someone with impeccable organizational skills, a high level of professionalism, and the ability to maintain confidentiality in a private, guest-centric environment.

?? Key Responsibilities

Oversee day-to-day administrative operations including scheduling, correspondence, visitor coordination, office logistics, and staff support

Manage a small team of administrative and front-desk personnel, providing coaching, delegation, training, and performance oversight

Develop and maintain streamlined processes for communication, document control, recordkeeping, scheduling, and reporting

Support senior leadership with meeting prep, project planning, vendor management, and document creation

Coordinate with facilities, landscaping, security, and hospitality teams to maintain smooth communication across all departments

Maintain budgets for office supplies, equipment, routine administrative expenses, and vendor billing

Draft professional communications, proposals, reports, and internal updates

Handle sensitive information related to guests, residents, and executives with the highest level of discretion

Requirements

4-6 years of administrative leadership experience (hospitality, luxury property, HOA, or private estate preferred)

Strong proficiency in Microsoft Office Suite and project management tools

Ability to manage multiple priorities with professionalism and calm under pressure

Exceptional communication, writing, and relationship-building skills

Strong leadership skills with experience supervising staff

Highly polished, warm, and service-driven demeanor
