About the Office of the Secretary of Education:
The Indiana Office of the Secretary of Education (Education Vertical) is comprised of the Indiana Department of Education (DOE), Indiana Commission for Higher Education (CHE), Board of Education, Charter School Board, Education Employment Relations Board, Dolly Parton Library, School for the Blind and Visually Impaired, and School for the Deaf. These agencies are responsible for programming across the full spectrum of education, from Pre-K to college.
Hourly Rate:
The hourly wage for this position traditionally starts at $16.24/hour for current undergraduate students and $17.24/hour for those that hold a bachelor's degree at the time of starting the internship.
Role Overview:
The CHE Records Retention Intern is responsible for identifying and processing records in accordance with various agency retention schedules with support from the Indiana Archives and Records Administration (IARA). The intern is responsible for reviewing existing agency retention schedules and working with representatives within the Education Vertical to identify retention policy updates that would promote alignment and efficiency. The Education Vertical is comprised of the Indiana Department of Education (DOE), Indiana Commission for Higher Education (CHE), Board of Education, Charter School Board, Education Employment Relations Board, Dolly Parton Library, School for the Blind and Visually Impaired, and School for the Deaf. These agencies are responsible for programming across the full spectrum of education, from Pre-K to college. This role is ideal for students interested in future career paths related to data and information governance, regulatory policy and compliance, archivists, and/or medical and health service records management.
A Day in the Life:
The essential functions of this role are as follows:
Collaborate with IARA and Agency Records Retention Officers (ARROs) to review, understand, and implement current agency records retention policies.
Partner with ARROs to draft recommendations for updates to agency records retention policies to promote alignment and efficiency across the vertical.
Partner with IARA to facilitate compliant records management activities of both physical and electronic records.
In partnership with IARA and ARROs, develop roadmap for key milestones to measure records retention progress and identify priority activities.
Support ARROs in development of communications to agency leadership and employees regarding records retention policies, procedures, and updates.
Follow instructions and assist in implementation of forms/records analysis projects.
Process incoming records in accordance with retention schedules and determine which records should be stored permanently for historical significance.
Accession or record, according to order of acquisition, incoming records by agencies and categories.
Implement confidentiality procedures for forms and other records and follows established security measures.
Assist in implementing paperwork simplification projects and prepares records for disposal or storage according to senior analyst's instructions.

What You'll Need for Success:
Must be currently enrolled as an undergraduate or graduate with an accredited post-secondary institution and have completed at least one (1) year of undergraduate education.
Academic work in related field
Must be a detailed-oriented self-starter who can be given a need or objective, break it down into executable pieces, identify questions that need to be asked, gather priorities and requirements, set and manage milestones, and then execute effectively.
Excellent organizational, time management, and documentation skills
Excellent written, verbal, public speaking, listening, processing, and synthesizing skills
Strong computer literacy, including the Microsoft Office suite
Ability to work both as part of a collaborative team and independently
Ability to build relationships and collaborate effectively with multiple entities and agencies
Ability to maintain confidentiality
Benefits of Employment with the State of Indiana:
This seasonal position does not offer benefits and is limited to 180 working days in an eleven (11) month continuous period.
