About Flooded Screen Prints Flooded Screen Prints is a fast-growing custom apparel and print shop dedicated to delivering high-quality screen printing, embroidery, DTF, and wide-format products with exceptional customer service. We move fast, stay organized, and prioritize a smooth experience for our clients from quote to delivery. Were looking for a reliable, detail-oriented Administrative Assistant to help keep our operations running smoothly and support both our customers and internal production teams.

Position Summary The Administrative Assistant is the first point of contact for customers and plays a key role in maintaining organization across the shop. This position handles communication, order intake, scheduling, message management, and administrative tasks that support production and customer satisfaction. You will ensure information flows correctly between Sales, Customer Success, Production, and Shippingkeeping the Flooded workflow smooth and error-free.

Key Responsibilities Customer and Communication Support Answer phones, return missed calls, and manage voicemail messages using established systems. Greet walk-in customers and assist with basic questions or direct them to the correct department. Monitor company email inboxes and route messages appropriately. Update customers on order status when necessary. Schedule customer pickups and deliveries through YoPrint. Order Intake and Admin Workflow Assist with entering customer information, quote requests, and new orders into YoPrint. Ensure forms, details, and project notes are complete and accurate before handing off to Customer Success or Production. Upload artwork, proofs, and documents into Google Drive using Floodeds folder structure. Maintain digital organization across YoPrint, Google Drive, Slack, and internal platforms. Internal Support Take accurate messages for staff and ensure they are documented in the proper system (Slack/Base44 app). Maintain office supplies inventory and assist with supply ordering. Support the Production Manager with paperwork, labels, and job packets as needed. Assist with daily reporting, follow-up reminders, and calendar organization. Help with scanning, copying, and filing documents. Customer Experience Provide a friendly, welcoming experience at all times. Ensure customers receive clear and accurate information. Help resolve small issues and escalate larger problems to the correct team member. Administrative Organization Keep the front office neat, stocked, and organized. Assist with creating templates, forms, and documentation when new processes roll out. Light data entry and record-keeping for daily operations.

Qualifications Strong communication skillsprofessional, friendly, and confident. Highly organized with strong attention to detail. Able to multitask in a fast-paced environment. Comfortable learning new software (YoPrint, Google Workspace, Base44 apps, Slack). Basic computer skills (typing, email, file organization, uploading/downloading files). Customer service experience preferred. Print shop or production environment experience is a bonus but not required. Personality and Work Style You take initiative and dont wait to be told what to do next. You enjoy helping people and staying organized. You thrive in a busy environment and remain calm under pressure. Youre a problem-solver who likes improving processes.

Hours and Pay Full-time position Standard business hours (with occasional flexibility during peak seasons) Pay based on experience
