Job Summary
Reporting to the UMSI Events Manager, you will serve as a Meeting and Special Events Assistant at the School of Information. In this role, you will help plan, organize, and execute logistics for a variety of schoolwide events, including on-site and remote guest speakers, grant-funded workshops, and gatherings for faculty, staff, and students. Your work will contribute to creating engaging experiences for everyone in our community. Responsibilities*
As the Meetings and Special Events Planner, and under general guidance from the UMSI Events Manager, your responsibilities include:
Assisting in the planning and execution of school events, including selecting and ordering food and beverages for on-site or off-site catering and coordinating guest travel (air and ground), lodging, meeting schedules and reimbursements.
Supporting the execution and set-up/clean-up of meetings and special events.
Coordinating event registration and acting as the on-site point of contact during special events.
Guiding on-site speakers and guests to each scheduled meeting and managing their itineraries.
Tracking expenses and preparing reconciliations and reports on event costs.
Supporting UMSI off-site special events.
Other duties as assigned.
Service, Learning & Professional Development:
Support the mission and goals of the school and the strategic priorities of the Dean;
Serve on school, university, or professional organization committees/boards;
Participate in a variety of professional development activities, including maintaining any required professional certification or licensure.
Required Qualifications*
Associate degree or 3+ years of professional experience demonstrating strong customer service and administrative coordination skills.
Proven communication and organizational skills, with a high degree of accuracy, attention to detail, and the ability to work under pressure in a fast-paced, high-activity environment.
Experience working both independently and as part of a team, managing multiple priorities and shifting deadlines.
Proficiency in Google Suite (Docs, Sheets, Forms, Calendar) and ability to learn event, travel, or financial systems; knowledge of University policies and procedures, and familiarity with Emburse and Marketsite strongly preferred.
Ability to travel to various on- and off-campus locations to pick up or deliver materials; must provide own transportation for these tasks.
Prior experience in event planning, hospitality coordination, or supporting meetings and special events.

This is a fully in-person position. You will coordinate your schedule with your supervisor in accordance with school policy. You will be required to travel to multiple locations on and off campus, depending on the event or work required for your role. The main office workspace for this position is located in the Leinweber Computer Science and Information Building. Punctual and regular attendance is required. You will be required to work during non-business hours and on weekends based on the requirements for your position.

Salary Information
The salary range for this position is $51,000 to $60,000. Salary is determined by direct relevant experience and demonstrated past performance results, while ensuring equity on our team. While rare, we may offer a salary above the posted range for an exceptionally qualified candidate, considering internal equity and budget. All candidates are encouraged to discuss salary questions to honor alignment and transparency throughout the recruiting process.
Physical Demands/Work Environment
The person in this position routinely moves furniture and equipment weighing up to 40 pounds throughout the School of Information and campus buildings and performs other duties mentioned above.
May require work during early mornings or occasionally on nights, and/or weekends.
All on-campus or onsite work.
