Job Title: Office of Information Technology- Administrative Support Analyst- Atlanta Pay Grade: K Workplace: Hybrid Travel: minimal Job Summary:
This position reports directly to the Deputy Assistant Commissioner of Operations/Chief Information Officer and is under general supervision, performs complex administrative duties and statistical, financial, or operational data analysis and reporting in support of management decision making in functional area. Identifies trends, discrepancies, and variances to improve the efficiency and effectiveness of operations. May partner with other departments, divisions, outside agencies, and vendors to address business issues. Exercises various latitudes of independent judgment. May administer or provide high level support for various projects, grants, contracts, implementation of procedures, and/or any specialized functions. Assists with orientation, training, or providing task guidance of junior team members.
Primary Duties & Responsibilities:
· Administratively supports the Deputy Assistant Commissioner of Operations/Chief Information Officer [Coordinates calendars, schedules meetings, prepares agendas, takes minutes, and tracks action items to closure]
· Conducts and coordinates financial, personnel, product, market, operational, and related research to support strategic and business planning
· Administers personnel functions of employees, contractors and vendors within the Office of Information Technology
· Administers financial transactions (requisitions, purchase orders, contract terms, renewal dates, invoices, etc.) for the Office of Information Technology
· Collects and develops financial, business, burn rates, and contract forecasts to support development of plans and strategies
· Establishes and maintains a positive working relationship with internal staff, contractors, and external agency vendors, and other related contacts
· Monitors effectiveness of business operations, assesses quality of service and makes recommendations to improve operations
· Gathers, compiles and analyzes department operational data
· Prepares reports of findings and analysis. May make recommendations to management for administrative changes
· Ensures secure handling of sensitive and confidential personnel, financial, and technology information in compliance with policies and regulations.
· Drafts and disseminates communications, presentations, updates, and reports on behalf of the CIO or OIT leadership.
· Assist OIT in coordination of activities, communication support, documentation management, meeting logistics, workflow tracking, and ensuring alignment across teams to support efficient departmental operations.
Entry Qualifications:
Associate degree in business or related field from an accredited college or university and two (2) years of experience related to area of assignment; or one (1) year of experience required at the lower level Busi Support Analyst 1 (GSP130).
Note: An equivalent combination of knowledge, education, job or intern experience, training, or certifications that provides the necessary knowledge and skills to successfully perform the job at the level listed may be substituted year-over-year.
· Experience organizing and managing department schedules
· Experience with personnel support and staff time accounting (state, contractor, consultant)
· Experience in financial transactions (requisitions, purchase orders, invoices, receipts, payment submission, etc.)
· Strong organizational and communication skills
· Experience in purchasing
· Self-motivator with the ability to manage multiple tasks, and meets necessary deadlines
Preferred Qualifications:
· Knowledge, usage, and access to PeopleSoft financials
· Knowledge of Time Keeper administration within UKG Dimensions (Kronos)
· Knowledge of procurement processes
· Knowledge of Contract Management Application (CMA) contract pre-screening and processing
· Knowledge of the GTA Georgia Enterprise Technology Services(GETS) contract
· Knowledge and usage of a State of Georgia PCard (purchasing card)
