Examples of Duties

Provides administrative support for the facilities, security, event management, and purchasing departments.

Enters requisitions and expense vouchers for all Business Services departments

Monitors and inputs required data into the work order management system including generating work orders and processing requests, preventative maintenance requests, and assignments

Handles incoming department mail and general department email, and follows up on correspondence

Handles the administration of vendor contracts by updating relevant vendors and contract information in the College's contract management system

Prepares all vendor contracts for review and authorized signature

Works with the College's insurance company to maintain authorized College vehicle driver's list and request Certificates of Insurance.

Maintains facility equipment inspection records

Maintains the inventory records of all facilities equipment and supplies, insurance, and related documents and ensures all required documentation is current

Assists with the tracking of all facilities compliance records

Tracks employee equipment distribution, training records, and licenses and monitors for expirations/renewals

Performs related duties as assigned

Typical Qualifications

Education:

High School diploma or GED

Associate's degree preferred

Competencies and Skills:

Demonstrated ability to give attention to detail

Demonstrated organizational and clerical skills

Excellent communication skills

Strong computer literacy including Microsoft Office products

Knowledge of Ellucian's Colleague and School Dude preferred

Supplemental Information

Terms of Employment: This position may require flexible scheduling to include evenings and weekends and duties at any Atlantic Cape location.

This is a part time position requiring up to 26 hours per week.

Paid sick leave in accordance with NJ Sick Leave Law

Defined Contribution Retirement Program (DCRP) (https://www.nj.gov/treasury/pensions/pension-active-dcrp.shtml)

Eligible part-time employees will be enrolled into the DCRP (Defined Contribution Retirement Plan) pension (https://www.nj.gov/treasury/pensions/pension-active-dcrp.shtml) . Employees contribute 5% of their base salary and the college contributes 3% of base salary. Investment options are managed through Prudential Retirement. Life insurance benefits through DCRP are payable to the beneficiary at 1.5X the member's salary.
