Job Purpose & Scope

Responsible for monitoring and overseeing the daily lockbox processing staff and operations. Coordinates monthly meetings, generates monthly reporting and interacts with other departments as needed. Processes lockbox/remittance accounts manually or via an automated system according to procedures. Oversees the processing of internal and external mail. Ensures proper setup of new clients, and maintains all client lockbox files per Bank policy and industry standards.

Essential Job Functions

Oversees daily processing operations and supervises staff.

Processes lockbox accounts according to detailed procedures.

Identifies areas to improve productivity and efficieny.

Maintains current processing procedures.

Ensures setup of new clients on all lockbox automated systems.

Interfaces with third party vendors.

Coordinates with other Association Services management on lockbox related matters.

Communicates with clients as needed to ensure customer service needs are met.

Ensures daily mail pick up.

Performs and maintains disaster recovery processes.

Ensures staff remain informed of all operational matters and Bank policies.

Communicates with Association Services staff with regard to customer service issues and expectations.

Performs other duties and assists staff members with their responsibilities to support lockbox productivity and positive customer experience, as needed.

Knowledge, Skills & Abilities

General knowledge of lockbox functions and procedures.

General knowledge of the banking environment and related professional standards.

Ability to demonstrate effective time management and organizational skills.

Ability to use a 10-key calculator.

Ability to create production reports.

Ability to utilize discretion and sound judgment in decision making and maintain confidentiality.

Ability to communicate effectively both verbally and in writing.

Ability to lead others by example and by verbal and written instructions.

Ability to demonstrate excellent customer service and vendor management skills.

Ability to respond to internal (i.e., departmental staff, business development staff, branch staff) requests and demands professionally and promptly.

Ability to solve operational and practical problems.

Ability to demonstrate leadership skills and supervise the work of others.

Ability to work well with exacting dealines.

Ability to interpret various oral or written instructions.

Ability to manage multiple priorities and projects and maintain attention to detail in a fast-paced environment with repeated interruptions and change.

Ability to work extended hours as needed.

Ability to lift boxes in the mail room/lockbox and trays of checks when processing cash letters (up to 25 lbs.) with or without accommodation.

Ability to work in areas with loud equipment with or without acommodation.

Skill in using computer, including knowledge of basic computer file structure and configuration techniques, and Microsoft Office, including Word, Excel, and Outlook.

Basic Qualifications

High school diploma or equivalent required; Bachelor's degree preferred.

3+ years of experience in Banking, Treasury Management, Lockbox processing, or other financial services required.

1+ years of supervisory, management, or leadership experience preferred.

Valid driver's license with good driving record required.
