Executive Administrative Assistant

Job Description:

We are seeking an experienced and proactive Executive Administrative Assistant to support a VP-level Executive, their three direct reports, and a mid-sized department. The ideal candidate will have seven or more years of administrative experience and will be instrumental in managing a variety of tasks to ensure smooth operations within the team.

Key Responsibilities:

Manage projects and track deadlines to ensure timely completion of tasks.

Maintain an active calendar of appointments and schedule meetings for executives.

Arrange travel and itineraries, ensuring all logistics are efficiently planned.

Complete expense reports accurately and in a timely manner.

Coordinate meetings and events, including logistics and materials preparation.

Prepare and edit presentations, ensuring high-quality output.

Compose and edit correspondence on behalf of executives.

Recommend and make purchase decisions as necessary.

Train other administrative staff as needed.

Qualifications:

Must have seven or more years of relevant administrative experience.

Strong written and verbal communication skills.

Intermediate to advanced computer skills, including proficiency in word processing, spreadsheet calculations, basic presentation assembly, and familiarity with database applications.

Ability to work onsite five days a week for the first month, with the potential for remote work (up to two days remote each week) after a 30-day evaluation period.

Comfortable working in a complex, fast-paced environment.
