Job Overview
Position Schedule: Full-Time

The purpose of the role is to ensure the smooth, efficient, and professional management of day-to-day administrative requirements to support the Head of Wealth Management and Field Management.
In this role, you will succeed if you possess proven organizational and communication skills, are self-motivated, thorough, quick-thinking, and flexible, have an unwavering attention to detail, and exhibit a high degree of integrity, confidentiality and dependability. You look beyond singular tasks and toward the end goal and identify the most effective means of achieving the ultimate objective.
What You Will Do:
Draft letters, memos and other Division communications.
Prepares meeting materials and assists with the development and editing/proof reading of presentations.
Handle phone calls, mail, e-mail and faxes. Answer questions and refer information requests to appropriate areas. Determine when calls or inquiries need to be brought to the attention of the Division Leader.
Utilizes knowledge of the firm's organizational structure and current initiatives to make appropriate connection points and update the leader(s) as appropriate
Handle the Division Leader's appointment calendar, schedule and coordinate meetings and handle travel arrangements.
Obtains and organizes information for use in conferences, speeches, reports and/or meetings
Process payment of invoices and travel and business expense reports.
Initiate improvements to Division administrative processes.

Skills/Requirements
What You Will Need:
High School Diploma or equivalent.
Secretarial training preferred.
Five to eight years of related experience
Excellent organizational skills.
Good judgment in setting priorities, providing responses to requests for information/meetings and handling confidential information.
Initiative and ability to work independently.
Must have good verbal and written communication skills and a customer service orientation to handle internal and external contacts.
Advanced proficiency in Microsoft Outlook, Word, OneNote, Excel, PowerPoint, SharePoint and Adobe Professional.
Advanced problem-solving skills; problems may be non-routine
Understanding of Division's key functions and roles and functions of other Divisions within the firm.
Candidates that live within in a commutable distance from our Tempe, AZ and St. Louis, MO home office locations are expected to work in the office three days per week, with preference for Tuesday through Thursday
