Description We are looking for a motivated and detail-oriented Administrative Assistant to join our team in Orlando, Florida. This Contract-to-permanent position offers an excellent opportunity to work in a fast-paced environment within the engineering industry, providing essential support that contributes to the success of the organization. The ideal candidate will bring strong organizational skills and a proactive approach to managing administrative tasks.

Responsibilities:

Prepare and format various documents such as reports, proposals, and invoices with accuracy and attention to detail.

Handle daily office tasks including filing, copying, collating, and binding documents.

Manage incoming and outgoing mail, ensuring timely distribution and processing.

Perform accurate data entry and maintain company databases using specialized software.

Provide administrative support to the department, assisting with scheduling and coordination.

Update and maintain records in company systems, ensuring information is current and easily accessible.

Create and organize multiple databases using various software applications.

Respond to inbound calls professionally and direct inquiries appropriately.

Assist with receptionist duties, greeting visitors and providing general office support.

Adapt to shifting priorities and deadlines while maintaining efficiency in a dynamic environment. Requirements

Must be bilingual in English and Spanish

Proficient in keyboarding and computer skills, including familiarity with office software.

Advanced in using Excel and Adobe

Strong verbal and written communication abilities.

Capable of multitasking effectively in a high-pressure setting with changing priorities.

Highly organized with exceptional analytical skills and attention to detail.

Previous experience in an engineering, architectural, or construction office is preferred.

Local candidates only, as onsite presence is required.

Ability to manage multiple projects while maintaining accuracy and timeliness.

Experience in administrative assistance, receptionist duties, and data entry is essential.
