I.T. Specialist

Under general direction, the IT Assistant provides administrative support to ensure office operations and performs a broad range of office coordination services, clerical assistance, and limited Tier 1 level computer phone support. This position offers a customer-centric approach, performing duties with a friendly and professional demeanor, providing excellent customer service and ensuring calls are efficiently routed to support personnel.

ESSENTIAL DUTIES

Serves as the first point of contact for employees reaching out to the Help desk to seek IT support and technical assistance over the phone or via remote access.

Performsgeneral office/secretarial taskssuchasreceivingcalls/visitors;monitoring/orderingstandardoffice supplies;collatingandassembling documents;acceptingand deliveringinter-department correspondence,photocopying/faxing correspondenceandreports, and responding to emails.

Directs unresolved issues to the next level of support personnel.

Manages and prioritizes issues in a timely manner, ensuring timely resolution and minimizing downtime for the employee.

Establishes, maintains, updates, reconciles, and processesfiles, records,accounts, reservations,and otherinformationas neededforbilling, payroll, accounts payable, and check printing.

Assists with maintenance and updates to thecomputerinventory list.

Inputs and updates information in databases and spreadsheets.

Works with staff and outside vendors.

Assists in the preparation of the annual budget

Assists with maintenance and updates to departmental documentation, policies, and procedures

Tracks incoming orders and submits packing slips to direct items ready for payment to department management.

Coordinate and communicate on a regular basis with departments to route and prioritize issues to Information Technology support staff.

Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.

Ensures that deadlines are met and adopts to changing priorities.

Presents a positive and professional image.

Perform other related duties asassigned.

MINIMUM QUALIFICATIONS

Knowledgeof:

Computer systems, mobile devices and other tech products.

Excellent problem-solving and analytical skills.

Maintain accurate records

Time management practices

Businesscorrespondence,including proper grammar,spelling and punctuation.

MicrosoftWindowsandMicrosoftOfficeSuite applications

Abilityto:

Display excellent communication skills - strong verbal and written communication skills are needed to effectively communicate with end users, understand their technical issues and provide clear step-by-step instructions and solutions.

Determine the best solution based on the issue and details provided by the employee.

Learn, independentlyinterpret, and applya varietyofcomplexorganizational policies,proceduresand protocols.

Deal with multiple support requests demands with excellent time management and organizational skills to prioritize tasks, meet deadlines and ensure efficient resolutions.

Apply sound judgment, discretion and initiative in performing daily duties with minimal direct supervision.

Physically perform all essential job functions.

Experience andEducation:Anycombination equivalenttothelevelofexperience and educationthatwould likelyprovidetherequiredknowledgeand abilities will qualify.

Experience:

Prior experience in customer service or customer support is beneficial.

Prior experience working in an office environment.

Education:

High School Diploma or GED required.

Previous formal training and/or education in information technology, office management or administration is preferred.

Licenses:

ValidClass CorgreaterDriver License.

ENVIRONMENTALFACTORS

The essential job duties of this position are typically performed in a normal office setting. The duties of this position require that the incumbent be available to work some overtime hours including evening and weekend hours as required.
