Job Summary

The Foodbuy Administrative Assistant will provide comprehensive support to members of the Foodbuy Management Team, primarily based in our Charlotte, NC office. This role requires a highly organized and proactive individual who thrives in a fast-paced environment and can balance multiple priorities with accuracy and professionalism. The ideal candidate will work both collaboratively and independently to ensure tasks are completed efficiently and effectively. Key responsibilities include event coordination, calendar and expense management, team communications, and general administrative support.

Responsibilities:

Provide administrative support to members of the Foodbuy Senior Management Team.

Coordinate logistics for onsite and offsite meetings and events, including room reservations, transportation, catering, audiovisual needs, staffing, budgeting, and post-event follow-up.

Prepare and submit timely and accurate expense reports.

Manage complex calendars and scheduling for meetings, offsites, and team-building activities.

Build and maintain effective relationships with key internal and external stakeholders through clear, professional, and timely communication.

Demonstrate flexibility and adaptability in responding to urgent or changing priorities.

Handle sensitive and confidential information with discretion and professionalism.

Perform other administrative duties as assigned.

Qualifications:

Minimum of 2 years of experience in administrative or support roles.

Experience supporting senior-level executives required.

Bachelor's degree preferred.

Strong multitasking and time management skills with the ability to handle multiple priorities effectively.

Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).

Demonstrated professionalism and sound judgment in all interactions.

Excellent written and verbal communication skills.

Proven organizational, problem-solving, and decision-making abilities with strong attention to detail.
