Hatchery Administrative Assistant

Prestage Farms is seeking an Administrative Assistant at the Prestage Farms Inc. Hatchery to provide essential administrative and logistical support to ensure efficient daily operations of the hatchery. This role involves coordinating communication, maintaining accurate records, managing inventories, supporting hatchery production schedules, and assisting management and field teams with various operational and clerical tasks. Primary responsibilities may include the following, among others:

Responsibilities

Clerical

Answer/direct incoming phone calls and distribute incoming mail and packages

Coordinate shower items, clothes, and footwear for visiting personnel

Order and maintain stock for the poult service room

Issue purchase order (PO) numbers and process invoices for payment

Prepare meeting materials (print handouts, take meeting minutes, distribute summaries)

Maintain and update calendars

Prepare and distribute weekly schedules

Receive vaccines; ensure proper storage and update inventory records

Prepare and send monthly poults to the lab for testing

Work with drivers to manage schedules

Coordinate vehicle maintenance and repairs

Coordinate fuel deliveries to farms

Data Tracking & Entry

Track egg inventory

Prepare and record egg sets

Enter hatch data and maintain records

Enter poult invoices, hatch information, and placement data

Balance hatch data, placements, DOAs, and KOAs weekly; send summary reports

Enter hatch and egg pickup information

Requirements

High school diploma or equivalent preferred

Bilingual preferred

Minimum 2 years of administrative experience, preferably in an agricultural, poultry, or hatchery environment

Strong organizational and multitasking skills with attention to detail

Proficient in Microsoft Office Suite (Excel, Word, Outlook) and business management systems

Excellent written and verbal communication skills

Ability to work collaboratively with production, logistics, and management teams

Must be dependable, adaptable, and able to handle confidential information

Working Conditions

Office-based role located within the hatchery facility

Requires coordination with hatchery floor, farms, and logistics teams

May involve occasional lifting of light supplies

Exposure to poultry facility environment (noise, temperature variations, biosecurity protocols)
