Job Summary
The Oregon State University High School Equivalency Program is seeking a salaried Academic Wage: Outreach & Retention Coordinator. This is a full-time (1.00 FTE ), 12-month, fixed-term position.
The Oregon State University High School Equivalency Program ( HEP ) Outreach & Retention Coordinator provides outreach, recruitment, and retention support to prospective and current HEP participants and their families. This position plays a vital role in meeting the program's grant objectives by ensuring eligible participants from migrant/seasonal farmworker backgrounds successfully enroll, persist, and complete their GED . The coordinator promotes access to educational opportunities, develops trust-based relationships with students and families, and provides individualized guidance to ensure participants transition into post- GED education, training, or employment.
In addition to recruitment, this role emphasizes student retention and success through proactive monitoring, early intervention, and holistic student support strategies.
This position reports the Director of HEP .

Key Responsibilities
40%Outreach, Recruitment, and Eligibility Review
Serve as the main contact for prospective participants and families.
Maintain consistent communication with High School Graduation Specialists, Migrant Education Program ( MEP ) staff, and community partners.
Accurately determine and document applicant eligibility.
Recruit 40 participants across three annual cohorts (fall, winter, spring).
Coordinate with schools, districts, and agencies to identify potential students.
Proctor entrance exams and support applicants through the onboarding process.
25% Retention, Advising, and Student Success Support
Develop and implement proactive retention strategies, including orientation, early alert systems, academic progress checks, and individualized student success plans.
Advise students on academic preparation, time management, and personal goals to prevent attrition.
Facilitate workshops focused on study skills, GED preparation, and life skills such as financial literacy, college readiness, and stress management.
Coordinate tutoring, mentorship, and peer support activities to promote persistence.
Track student attendance, engagement, and progress toward GED completion; implement interventions for at-risk participants.
Support participants in setting post- GED goals and provide referrals to higher education, vocational training, or workforce pathways.
Collaborate closely with instructors and program staff to monitor and respond to academic and personal challenges affecting student success.
15% Transition and Placement Support
Provide one-on-one and group transition advising for participants completing their GED .
Support students in completing college financial aid, scholarship, and employment applications.
Establish partnerships with local employers, colleges, and training programs to facilitate placement.
Conduct follow-up and maintain data on graduate outcomes to support program evaluation and reporting.
10% Partnership and Collaboration
Coordinate outreach and retention efforts with university programs and external agencies that serve migrant students.
Work collaboratively with CAMP , TRIO , and MEP programs to ensure aligned services and referrals.
Attend statewide and regional meetings to share best practices and strengthen referral networks.
5% Program Development, Evaluation, and Reporting
Maintain and update student retention and recruitment manuals, orientation materials, and handbooks.
Analyze retention and completion data to identify trends and areas for improvement.
Assist the Director in developing annual reports and continuous improvement plans.
5% Professional Development and Institutional Service
Serve on university committees related to student success and retention.
Participate in training and conferences on adult education, migrant student support, and culturally responsive advising.
Perform other duties as assigned.
What You Will Need
Bilingual- Spanish/English.
Bachelor's degree (Human Development and Family Sciences, Social Sciences, Sociology, Psychology, Communications, Education, or related field).
1 year of work experience (including student worker positions) in education and /or human services setting.
1 year of experience presenting and recruiting underrepresented students such as the target population of the program.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver's license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
What We Would Like You to Have
Experience working with HEP or CAMP Programs.
Experience in adult education or GED preparation environments.
Experience in academic advising, case management, or student success roles.
Demonstrated commitment to supporting underrepresented and first-generation students.
Experience using data to monitor student progress and outcomes.
Working Conditions / Work Schedule
General work schedule is 9 AM to 6PM, does require working evenings and weekends. Travel throughout the state is common.
