Description

Robert Half is seeking an organized, flexible, and detail-oriented Administrative Specialist to support the operations of a growing organization. This critical support role will help ensure the smooth execution of administrative tasks, enabling the team to focus on key business objectives. The ideal candidate will possess advanced organizational skills, attention to detail, and the ability to adapt to a fast-paced workplace.

Key Responsibilities

Perform a variety of administrative tasks, including managing schedules, answering phones, and handling email correspondence.

Create and maintain detailed records, compiling reports, and organizing data.

Manage calendars, coordinate meetings, events, and appointments on behalf of managers and teams.

Act as the first point of contact for internal and external stakeholders via phone, email, and in-person.

Process invoices, purchase orders, and expense reports, ensuring accuracy and compliance with company policies.

Serve as a liaison between departments and external vendors to ensure the timely flow of communication and deliverables.

Maintain office supplies inventory and assist with procurement processes.

Support special projects and initiatives as requested by management.

Requirements

Experience: 2+ years of administrative experience, ideally in a professional office environment.

Education: High school diploma required; associate or bachelor's degree in Business Administration, Office Management, or related field preferred.

Tech Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with Google Workspace is a plus

Communication: Excellent written and verbal communication skills with a strong customer-service orientation.

Organization: Proven ability to multitask, prioritize tasks, and maintain a high level of detail and accuracy.

Preferred Qualifications

Certifications: Certified Administrative Professional (CAP) is a strong advantage

Industry Knowledge: Experience in [Insert relevant industry, e.g., Healthcare or Education] is beneficial.

Problem-Solving Skills: Resourceful and proactive in resolving administrative challenges.

Tech Savviness: Familiarity with database management systems, scheduling tools, or CRM applications.
