Job Description

We are seeking a highly organized and proactive experienced Administrative Assistant to provide executive support to the Vice President of Research and Development (R&D) and the Vice President of Marketing. This role involves overseeing daily office operations, managing administrative staff, and ensuring effective communication and coordination within the organization.

Responsibilities

Provide executive support to the VP of R&D and VP of Marketing.

Oversee daily office operations to ensure efficient workflows and adherence to organizational policies.

Manage and supervise administrative staff within the Marketing and R&D teams, providing guidance, training, and performance evaluations.

Organize and coordinate meetings, events, and travel arrangements for high-level management in collaboration with HST Leadership administration.

Handle sensitive correspondence and communications, ensuring confidentiality and professionalism.

Assist in budgeting and expense tracking for administrative functions, ensuring compliance with financial policies.

Monitor and report on administrative activities and project progress, providing updates to high-level management.

Maintain and manage office supplies and equipment, ensuring availability and functionality.

Ensure compliance with organizational policies, regulations, and best practices.

Participate in special projects and other duties as assigned.

Essential Skills

Excellent oral and written communication skills.

Ability to work independently and identify proactive solutions to complex situations.

Manage multiple tasks with high attention to detail, accuracy, and timeliness.

Advanced Microsoft Office skills.

Experience in executive administrative support, communications management, and project management.

Additional Skills & Qualifications

High school diploma or equivalent required; associate degree or professional certification preferred.

5-8 years of experience supporting leadership staff as a Administrative professional.

Experience supporting research and development teams or marketing is a plus.

Experience supporting high-level leaders from other countries.

Work Environment

This is a hybrid role requiring 3 days per week in the office, with Mondays and Fridays typically at home. Standard working hours are from 8am to 5pm CST. Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
