Description

We are looking for an experienced Executive Assistant to provide high-level administrative support to senior leadership in a dynamic and fast-paced environment. Based in Baltimore, Maryland, this role involves managing schedules, coordinating meetings, and ensuring seamless communication across teams and stakeholders. This is a long-term contract position ideal for an organized and proactive individual.

Responsibilities:

Manage complex calendars and schedules, ensuring timely and efficient organization of appointments and meetings.

Coordinate activities with EPIC.

Prepare and distribute clear and precise correspondence, reports, and presentations on behalf of senior leadership.

Handle financial tasks, including processing expenses using Concur and assisting with payroll systems like ADP and Kronos.

Maintain accurate records and data within CRM systems and other organizational tools.

Organize travel arrangements, including flight bookings, hotel accommodations, and itineraries.

Act as a point of contact for internal and external communications, ensuring all inquiries are handled promptly and effectively.

Support timekeeping and attendance tracking through About Time and other systems.

Collaborate with teams to facilitate smooth operations and resolve scheduling conflicts.

Uphold confidentiality and integrity in handling sensitive information

Requirements

Proven experience in an Executive Assistant or similar administrative role.

Proficiency in calendar management and scheduling software.

Proficiency in EPIC.

Strong knowledge of virtual meeting platforms like Cisco Webex Meetings.

Experience working with CRM systems and data management tools.

Excellent written and verbal communication skills.

Ability to multitask and prioritize effectively in a fast-paced environment.

High degree of professionalism and discretion in handling confidential matters
