Job Title: Administrative Assistant Location: Remote -- Work From Home

About the Role: The Administrative Assistant will provide essential administrative and office support to multiple team members working on assigned projects. This role plays a key part in ensuring organized, accurate, and efficient daily operations while supporting communication, documentation, coordination, and project workflow.

Responsibilities and Impact: As a Administrative Assistant, you will:

Provide general administrative support and office coordination to assigned project teams.

Prepare and compose correspondence, reports, meeting minutes, and other routine documentation.

Schedule and coordinate meetings, appointments, and events for multiple stakeholders.

Maintain and update project files, electronic records, and contract database.

Conduct basic data entry, comparison, and tracking tasks using spreadsheets and databases.

Perform quality assurance checks on reports and summary materials before submission.

Maintain supply inventories, order materials, and support general office operations as needed.

Update and track work items in shared project systems such as Smartsheet.

Communicate clearly and professionally with project partners, staff, and clients.

Research routine information online, compile results, and summarize findings for internal use.

These responsibilities are not exhaustive; additional tasks may be assigned.

Minimum Qualifications:

High school diploma or equivalent; associate's or bachelor's degree preferred.

1-2 years of administrative or office support experience.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).

Strong Written and verbal communication skills.

Ability to work independently, manage multiple priorities, and meet deadlines.

Comfortable with technology, file management systems, and internet research.

Standout Qualifications:

Experience with medical billing, medical transcription, or healthcare administration.

Familiarity with state or government agency processes (Commonwealth of Pennsylvania experience a plus).

Prior project coordination or customer service experience in a professional setting.

Strong organizational skills and attention to detail in documentation and follow-up.

Ability to maintain confidentiality and handle sensitive information with discretion.

Physical Requirements

Prolonged periods of sitting while using a computer.

Must be able to communicate clearly over video meetings, phone, and email.

Home workspace with reliable internet access required.

Pay Range: $16/hr. - $18/hr.
