Job Description

Under the supervision of the La Salle County Clerk's office, the Court, Municipal, and License Clerks perform various clerical and administrative duties, providing critical support to the functioning of the court and municipal systems, as well as managing license-related tasks. This role requires a detail-oriented individual with strong organizational skills, capable of handling multiple tasks within a fast-paced environment.

Key Responsibilities:

Court Clerk Duties:

Maintain and update court records, ensuring accuracy and confidentiality.

Prepare and process legal documents, including summonses, subpoenas, and warrants.

Assist in preparing court dockets and managing court schedules.

Provide administrative support to judges and legal teams during court sessions.

Respond to inquiries from attorneys, law enforcement, and the public regarding court procedures and records.

Process fines, fees, and other financial transactions related to court activities.

Municipal Clerk Duties:

Coordinate and attend municipal meetings, preparing agendas, minutes, and official records.

Manage municipal ordinances, resolutions, and other official documents.

Assist in the planning and execution of local elections, including voter registration and election result certification.

Handle public records requests and ensure compliance with local, state, and federal regulations.

Serve as a point of contact for municipal officials and the public, providing information and resolving issues.

License Clerk Duties:

Process applications for various licenses and permits, such as business, marriage, and liquor licenses.

Verify applicant information and ensure compliance with licensing requirements.

Maintain accurate records of licenses issued, renewed, and expired.

Handle inquiries from applicants and the public, providing guidance on licensing procedures and requirements.

Collect fees and manage financial transactions related to licensing activities.

Qualifications:

High school diploma or equivalent required; associate's degree in public administration, legal studies, or a related field preferred.

Prior experience in a clerical, administrative, or legal support role is highly desirable.

Strong computer skills, including proficiency in Microsoft Office Suite and familiarity with database management systems.

Excellent communication and interpersonal skills, with the ability to interact effectively with diverse groups.

Strong organizational skills and attention to detail, with the ability to manage multiple tasks and meet deadlines.

Knowledge of legal and municipal procedures and terminology is a plus.

Ability to maintain confidentiality and handle sensitive information with discretion.

Working Conditions:

The position primarily operates in an office environment, with occasional duties in courtroom or municipal settings. The role may require extended hours to meet deadlines or attend meetings outside of regular business hours.

Physical Requirements:

Ability to sit for extended periods while performing clerical tasks.

Occasional lifting of office supplies or file boxes (up to 20 pounds).

Manual dexterity required for operating office equipment.
