Job Summary:
Typical Day in the Role
· Purpose of the Team: The purpose of this team is supporting the executive office, a building largely made up of high-level executives from various organizations and groups.
· Key projects: This role will contribute to calendar support for both the Chief of Finance and the manager for this role, but most of the work is supporting the administrative community for the larger executive team. The team can move very fast paced and frequently deals with many last-minute changes. The role will support all meetings and other initiatives that the team supports, including helping with learning sessions on how to grow as an admin. This role will grow into a backup for the manager while they or other members of the admin team are out of office as well.
· The role will help book travel; however, the exec office has a dedicated travel team they will work with that will streamline the process significantly. Intermediate Excel proficiency is required, as many reports are tracked in excel including a few utilizing pivot tables.
· Typical task breakdown and operating rhythm: The role will consist of various activities that will be changing day to day due to the fast-paced nature of the role. Calendaring will not be a heavy lift - most days will start with connecting with the manager to find out where they're needed that day before acting. Ad hoc support could potentially include drafting broad team emails to send out, drafting PowerPoints for team trainings, possibly making the team coffee, picking up lunch, booking rooms for leadership offsites, ordering catering for offsites, supporting other admins while they're out of office, etc.

Candidate Requirements
· Years of Experience Required: 5-7+ overall years of experience in the field. 5-7· Degrees or certifications required: No degree is required to be eligible for this role.
· Disqualifiers: Candidates that have significant previous history exclusively as receptionists or have supported executives exclusively in the medical industry, research fields, or banking industry will likely not be a good fit for the role. Often these roles are far more structured, while this role will frequently change and work in a very fast pace.
· Best vs. Average: The ideal resume would contain previous experience working in a confidential environment or managing confidential communications/work, such as paralegal or legal work, previous experience in HR, or otherwise navigating around confidential information. The ideal candidate can navigate spaces frequently filled with executives with a calm sense of urgency, is able to pivot to changing priorities multiple times a day, and has significant experience with a fast pace of work.
Top 3 Hard Skills Required + Years of Experience
Minimum 5+ years' experience with executive support including calendaring, travel, and team support.
Minimum 2 years' experience with supporting an executive at the C level (CVP, CFO, COO)
Minimum 3 years' experience with working in the enterprise tech industry.
Key Priorities and Responsibilities for This Position Include (but Are Not Limited To):
· Provide day-to-day operational support to the Executive Assistant and broader Executive Office team, serving as a trusted backup to the lead EA and adapting seamlessly to shifting needs and timelines.
· Manage calendar support for the Chief of Staff, including scheduling across multiple time zones, navigating shifting priorities, and balancing urgent requests with long-term planning.
· Coordinate and oversee executive office logistics, including procurement of supplies, hardware, assets, and facilities-related requests-ensuring smooth operations in a dynamic environment where needs evolve quickly.
· Support and execute special assignments and ad-hoc projects, often with limited guidance and tight deadlines. This requires flexibility, discretion, and a solutions-focused mindset.
· Provide onsite support during core business hours as needed, maintaining high levels of availability and responsiveness while navigating a highly visible and fast-paced work environment.
· Identify and implement process improvements that increase team efficiency, simplify workflows, and optimize use of shared resources-contributing to the continuous evolution of how the executive office operates.
· Build and maintain strong working relationships with key stakeholders across teams and disciplines, demonstrating professionalism, collaboration, and tact in all interactions.
· Consistently embody a proactive, can-do customer service mindset, while maintaining the highest standards of confidentiality, integrity, and discretion-especially in handling sensitive information or executive-level communications.

Pay Details: $35.00 to $45.00 per hour
