The office of Academic Appointments and Compensation (AAC) is a comprehensive unit serving 31 academic departments and Dean's Office units. The School's clinicians provide clinical services through two practice groups, The University of Washington Physicians (UWP) and Children's University Medical Group (CUMG), which are separate, non-profit corporations. The school has numerous affiliations with other entities such as Seattle Children's Hospital, the Fred Hutchinson Cancer Center and the Seattle Veteran's Administration. Appointments, promotions and other academic personnel actions for the School's faculty are managed within UW Medicine's Business and Operations Management.
The Office of Academic Appointments and Compensation serves as the primary academic human resources facility for School of Medicine (SoM) department chairs, departmental administrators, SoM executive staff, and staff including those at UWP/CUMG and closely affiliated institutions. Faculty decisions are influenced on a daily basis by independent judgment, analysis, review and decision-making related to the interpretation and application of complex, multiple source policies and procedures. SoM departments rely on AAC for the navigation of specialized knowledge in the full lifecycle of faculty academic affairs. If specialized knowledge of policies and procedures of the University, School, UWP/CUMG and closely affiliated institutions is not provided, including appointment, promotion, salary issues and compliance regulations, a significant negative impact on the School, University, UWP/CUMG, affiliated institutions and the clinical services provided at UW Medicine and other approved sites of practice.
AAC has an outstanding opportunity for a full-time Academic HR Partner . Reporting to the Associate Dean for Academic & Medical Staff Affairs, this position will require a range of responsibilities to provide seamless customer service to SoM academic departments who participate in the SoM AHR Shared Services. The Academic HR Partner will play a key role in the Office of Academic Appointments and Compensation, exercising discretion and independent judgment, by providing guidance to chairs, departmental administrators, and staff including those at closely affiliated institutions. This role requires independent judgment and strong project management skills. The Academic HR Partner will provide department level academic HR support as well as dean's office review for academic HR life cycle processes for departments utilizing the SoM AHR Shared Services.
The Academic HR Partner plays a key role within the AAC Shared Services team. Ensures the delivery of high-quality, compliant Academic HR services, builds consistent processes across departments, and partners with leadership to advance the Shared Environment model.
The Academic HR Partner is a key individual in the School of Medicine's Shared Environment, providing high-level Academic Human Resources (AHR) guidance, oversight, and operational support to multiple SoM departments. This position ensures consistency, compliance, and efficiency in academic personnel practices, serving as a trusted partner to department chairs, administrators, department staff, faculty, and institutional offices.
This position serves as a key administrative contact and partner for multiple SoM departments, Administrators, Department leadership, and external administrative partners regarding academic affairs. This position requires thorough knowledge of the layered and multi-variable appointment and credentialing processes, demonstrating that knowledge by responding to complex questions by summarizing the pertinent issues and providing understandable and actionable answers to peers, administration, faculty, and external partners. Our Academic Human Resource professionals strive to communicate difficult, shifting, and sometimes confusing policy information or principles to faculty or staff with expertise, grace and compassion, without compromising or neglecting important policies or regulations. The Academic HR Partner has frequent and substantive interactions which involve sensitive and confidential matters, requiring good judgment, tact, and discretion. This position requires accuracy, efficiency, flexibility, and a desire to serve multiple key personnel, while working within UW regulations. The Academic HR Partner must manage sensitive and confidential information with discretion and have excellent communication, problem-solving, project management and relationship management skills.
The Academic HR Partner will participate in continuous improvement: identify inefficiencies, implement scalable solutions, and leverage Workday capabilities for more agile and data-driven HR processes.
This position will be responsible for providing expert partnership and ensuring compliance with School and University policies, procedures and timelines in regard to academic human resources and is critical to the operation and coordination of the SoM departments. This position impacts the University of Washington's standing as an academic center of excellence. Decisions made in this role have broad impact on compliance, faculty experience, and departmental operations across the School of Medicine. The position requires discretion, diplomacy, decision-making, problem-solving skills and independent judgment to balance institutional requirements with faculty needs.
DUTIES & RESPONSIBILITIES
Academic Affairs (75%)
Provide guidance to SoM departmental AHR staff, chairs, administrators, faculty and academic personnel on all faculty and academic personnel actions, including appointments, reappointments, promotions, compensation, medical staff credentialing, compliance and training requirements, onboarding, evaluations, annual reviews, roster percent changes, sabbaticals, reduced responsibility, and separations.
Serve as the primary AHR advisor for assigned departments, partnering with chairs, administrators, and staff to ensure policies, procedures, and timelines are met.
Oversee faculty recruitment and appointment processes, including JRRs, RFAs, hiring plans, job postings, offer letters, UWP/CUMG practice agreements and appointment materials.
Coordinate medical staff credentialing and practice plans, ensuring faculty meet clinical and practice requirements.
Develop and implement systems to track faculty reviews, promotions, and compliance requirements; ensure alignment with University Faculty Code and School policies.
Partner with departments and AAC on faculty promotion processes, reviewing materials for quality, consistency, and compliance.
Serve as Workday approver for faculty and academic personnel actions; ensure timely and accurate processing of transactions.
Act as the department HR designee in sensitive and high-impact matters requiring judgment, discretion, and diplomacy.
Act as a liaison between the Shared Environment team, central HR offices, and departmental leadership to address HR-related issues and ensure alignment with institutional policies.
Correspond directly with faculty via email, Zoom, or phone to discuss leave requests, clarify requirements, and provide guidance on appropriate next steps in the process.
Provide consultation to department chairs, vice chairs, administrators, and faculty on HR policies and best practices.
Coordinate and oversee accurate transactions in Workday and CTM (UWP/CUMG payroll systems); partner with departmental finance teams to resolve compensation discrepancies.
Partner with departmental fiscal and operations managers, administrative staff, and the Dean's Office (AAC) to ensure smooth HR operations.
Interpret and apply University, School, and regulatory policies; provide guidance and resources to departments and AAC staff.
Guide, review and approve compensation actions for designated department(s): Retentions, Temporary Pay Supplement (TPS), Excess Compensation (E/C), Administrative Supplements (ADS), Monthly Additional Compensation (MAC), and Semi-Annual Additional Compensation (SAAC).
Process faculty lifecycle events utilizing Workday and Change Transaction Memorandum (CTM) application.
Problem Solving & Process Improvement (15%)
Serve as a knowledge thought partner to the Manager, AAC Shared Services, AAC Directors and Associate Dean identifying gaps and developing strategies to improve faculty HR processes across the SoM.
Research and resolve complex or ambiguous faculty HR issues, escalating to central offices when appropriate.
Develop and maintain process flows, standard operating procedures (SOPs), and resource materials to support consistency and efficiency across the Shared Environment.
Recommend and implement process improvements to streamline operations, increase compliance, and enhance customer service.
Collaborate with central offices (e.g., Office of Academic Personnel, Campus HR, Disability Services, departmental finance teams, and affiliate partners (e.g., UW Physicians, Seattle Children's, VA, and Fred Hutch) to align practices and resolve complex cases.
Special Projects & Strategic Initiatives (10%)
Lead or support special projects to strengthen the Shared Environment model and build scalable, end-to-end AHR services.
Create knowledge content, training materials, and communication resources to enhance AHR expertise across the AAC AHR Shared Environment team and SoM departments.
Contribute to the advancement of equity, diversity, and inclusion within faculty HR processes.
Partner with the Manager, AAC Shared Services, Associate Dean and Directors to support the AAC Shared Environment including building process flows and scalable HR support practices.
Support implementation of policy changes, organizational improvements, and HR initiatives requiring cross-unit collaboration.
Analyze complex compensation and appointment issues; provide recommendations that align with institutional and regulatory frameworks.
MINIMUM REQUIREMENTS
Bachelor's Degree in Business Administration, Human Resources, Communications or related field.
Four or more years of relevant experience at either a university, academic healthcare organization or medical administration.
Equivalent education and/or experience will substitute for minimum requirements and qualifications.
DESIRED QUALIFICATIONS
Ability to interpret and apply complex state or public agency policies and procedures.
Project-management experience.
Working knowledge of Academic healthcare institutions, School of Medicine departments and UW specific systems.
Knowledge of School of Medicine, University of Washington academic human resource and compensation rules, regulations, policies and procedures along with UW administrative systems.
Ability to work as part of a team, as demonstrated by prior work experience.
Experience working with issues of a confidential nature, using discretion and tact.
Proven ability to negotiate highly sensitive, political situations for positive outcomes and favorable results.
Strong project management skills, with the ability to manage multiple priorities, deadlines, and participants.
