The Stanford University School of Medicine, Department of Pediatrics advances the health of infants, children, and adolescents worldwide through innovative medical care, research, training, and advocacy. The department's programs offer a range of training opportunities in general pediatrics, critical care, and pediatric subspecialties-all within a variety of ambulatory, inpatient, and community settings. Moreover, while teaching the skills required for tomorrow's physician leaders, our programs challenge trainees to explore and develop their interests through basic science, clinical, and community-based research.
The Residency Scheduler will support multiple training programs in our office, including our categorical Pediatrics, Physician Scientist Track, Combined Pediatrics and Medical Genetics, Combined Pediatrics and Anesthesiology, Child Neurology, and Triple Board (Pediatrics, Child/Adolescent Psychiatry, and Adult Psychiatry) residency programs. This position will work closely with-and learn directly from-a diverse team that includes the Associate Director of Residency Administration, Program Director, other program coordinators, and four Chief Residents.
The Scheduler will serve as the lead partner with Calerity in building the annual resident schedules for training years 1-5, working with the Program Director and Chief Residents to establish schedule rules, gather resident preferences, and ensure compliance with ACGME requirements and clinical staffing needs. The role also requires leadership in managing day-to-day schedule changes (e.g., resident illnesses or emergent coverage needs), integrating Calerity with QGENDA, Amion, and MedHub, and overseeing resident Leaves of Absence (LOAs).
The successful applicant will be passionate about education, skilled in program and project management, and eager to collaborate with faculty, staff, and trainees in advancing the mission to improve child health.
This is a hybrid role, requiring on-site work two days per week in Palo Alto, CA. A resume and cover letter are required in order to consider an application complete.
Duties include:
· Administer and maintain residency scheduling software, ensuring data integrity, schedule rules, and master block templates for all residency years.
· Manage resident survey distribution for schedule preferences, incorporating vacations, holidays, events, and program tracks.
· Generate and update block schedules and clinics in the scheduling platform and MedHub, accommodating unforeseen events.
· Maintain complex call schedules for residents, ensuring work hour compliance.
· Identify and resolve scheduling software issues with vendor representatives.
· Create and analyze ad hoc reports to ensure schedule accuracy.
· Coordinate with visiting resident programs and other trainees for rotation distribution.
· Track, update, and approve resident jeopardy calls and trade requests to comply with work hour requirements.
· Collaborate with Program Director and Chief Residents to maintain ACGME-compliant rotation schedules.
· Oversee resident leaves of absence, ensuring compliance with GME, ACGME, ABP, and state regulations.
· Communicate with rotation directors and department leads for appropriate coverage.
· Oversee scheduling for various rotations and clinics in collaboration with rotation directors.
· Support curriculum management and evaluation processes in MedHub.

Stanford University provides pay ranges representing its good faith estimate of what the University reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs. The pay range for this position working in the California Bay area is between $88,010 to $108,049 based on commensurate experience and background.
DESIRED QUALIFICATIONS:
EDUCATION & EXPERIENCE (REQUIRED):
Bachelor's degree and two years of relevant experience, or combination of education and relevant experience.
KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
