Job Description:
Summary:
The Administrative Coordinator supports the strategic and operational functions of the Thomas and Joan Read Center, which encompasses three core pillars: Continuing Education, Industry Consortia and Talent Incubator Program. This role involves program coordination, event planning, communications, and stakeholder engagement. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple projects, using tools such as Gantt charts to ensure timely execution and alignment with Center goals.
Responsibilities:
Program Coordination & Center Support:
Plan, develop, implement, and monitor specialized programs and services across the Center's three pillars: Continuing Education, Industry Consortia and Talent Incubator Program.
Support day-to-day operations and long-term planning for the Center.
Manage complex schedules and timelines using Gantt charts and other project management tools.
Ensure compliance with University policies and procedures in all program activities.
Assist with Center-related reporting, including annual reports, proposals, and performance metrics.
Coordinate contract development and execution in collaboration with the Texas A&M Engineering Experiment Station (TEES), ensuring all agreements meet institutional and legal compliance standards.
Administrative & Financial Support:
Process purchases and maintain a ProCard for Center leadership, ensuring timely reconciliation and reporting.
Coordinate travel arrangements for faculty, students, and staff; including itinerary preparation and document processing in Emburse.
Maintain confidential records and documentation in accordance with University guidelines.
Prepare and manage budgets, financial reports, and other fiscal documentation.
Provide administrative support to faculty, staff, and students affiliated with the Center.
Communications & Marketing:
Develop, edit, and update communications materials such as presentations, reports, social media content, and marketing collateral.
Manage digital marketing and social media efforts to promote Center initiatives and increase visibility.
Lead planning and development of the Center's website, ensuring consistent branding and effective communication.
Maintain and organize an archive of historical website content to support continuity and future reference.
Events:
Coordinate logistics for Center events, including scheduling, speaker coordination, audiovisual setup, and promotional efforts.
Serve as the primary point of contact for events and meetings, ensuring effective engagement with participating organizations.
Manage vendor relationships for event-related services, including:
Catering and coffee service for workshops, seminars, and conferences.
Promotional materials such as branded items, signage, and giveaways.
Event supplies including name tags, folders, pens, and other essentials.
Printed collateral such as booklets, handouts, agendas, and evaluation forms.
Ensure all logistical components are executed smoothly and in alignment with the Center's branding and strategic goals.
Collaborate with internal and external stakeholders to ensure seamless event execution and post-event follow-up.
Industry Engagement & Stakeholder Relations:
Maintain and foster relationships with industry partners, faculty, staff and students.
Support and organize industry engagement activities including workshops, seminars, and short courses.
Serve as a liaison between the Center and external stakeholders to ensure effective communication and collaboration.
General Responsibilities:
Exhibit professionalism, customer service, and discretion in handling confidential matters.
Participate in university, division, and departmental committees and task forces.
Perform other duties as assigned.
Qualifications*
We are recruiting for an Administrative Coordinator I and an Administrative Coordinator II position.
Minimum qualifications for an Administrative Coordinator I:
Bachelor's degree or equivalent combination of education and experience and two (2) full years of Administrative Coordinator experience.
Minimum qualifications for an Administrative Coordinator II:
Bachelor's degree or equivalent combination of education and experience and three (3) full years of Administrative Coordinator experience.
