Job Summary:

Position will support Finance and HR department in providing effective and efficient financial services with emphasis on software/technology, accounts payable

and bank reconciliation. Business Office Assistant assists

in the accounting functions of payroll, audits, accounts receivables, accounts payables, reporting and other associated administrative duties.

Additionally, this position manages the organization's purchasing/credit card program, including applying for, issuing, tracking, and maintaining employee card assignments. The assistant will help manage the daily operations of the office, ensuring smooth and accurate financial workflows.

Essential Duties and Responsibilities:

Serve as system administrator for the organizations recreation management software-RecTrac- assist Rec Trac Lead

creating activities, point of sale, online registration, and troubleshooting issues.

Process accounts payable, including verifying documentation and disbursing funds.

Maintain and manage accurate records of vendor W-9 forms and documentation

Set up and maintain vendor accounts in accounting system

Prepare and process annual 1099 forms in accordance with IRS regulations

Administer the organization's credit card/purchasing card program, including applying for cards, issuing them to employees, maintaining an inventory of active cards, and tracking cardholder assignments.

Oversee and execute purchasing activities, ensuring compliance with internal controls and financial guidelines.

Assist employees in registering for conferences, educational seminars, and other professional development opportunities, including managing payment or reimbursement.

Perform account reconciliation and manage daily deposits

Manage credit card processing and monitor transactions

Process monthly fee collections and ensure accuracy

Serve as the liaison between JPRD and financial institutions

Oversee and administer the collections process

Provide backup support

to related positions within the Administrative Offices
