Description of Work Unit
The Center for Environmental Management of Military Lands ( CEMML ) is a research, education and service unit within the Warner College of Natural Resources at CSU . CEMML applies the latest and most appropriate science to promote the sustainable management of natural and cultural resources on Department of Defense ( DOD ) and other public lands. We provide technical support, conduct applied research, and offer career development and learning opportunities to support resource stewardship. We collaborate with our sponsors and within CSU to resolve complex environmental issues, leaving a legacy of science-based decisions that sustain our resources for future generations. Position Summary
The Executive Operations Assistant ( EOA ) will provide a bridge for smooth communication among CEMML personnel and between CEMML and outside units in the College and University. The EOA will manage information flow and promptly provide guidance on CEMML , WCNR and CSU policies and procedures. The person in this role must demonstrate tact under pressure and handle matters with sound judgment and confidentiality. The person in this role will provide special project leadership and support as needed to the Executive Director (ED) of CEMML . The EOA conducts preliminary research on a variety of topics; drafts materials as needed; and analyzes operations in coordination with the ED. The EOA also helps track CEMML Executive Committee (EC) requests and actions. The EOA will work with the EC to ensure the ED has complete and timely information to develop coherent strategies and solutions.
Required Job Qualifications
BS or BA and minimum of three years of experience in office administration with demonstrated experience in:
Execution and support of administrative operations
Human resources
Building proctor
Database management
Budgeting
Event coordination
Inventory management and scheduling
Supervision
Work in a higher education or government environment
Preferred Job Qualifications
Proficiency with word processing and spreadsheet programs (specifically Microsoft Office, with emphasis on SharePoint, Excel, PowerPoint, Outlook and Word)
Familiarity with Federal Common Access Card ( CAC ) application and expiry processes
Organizational skills and working well under pressure with multiple and consistently changing deadlines
Reporting and data analytics
Working independently as a self-starter and taking initiative
Time management, attention to detail, excellent judgment, and decision-making skills
Establishing and maintaining effective collaborative working relationships with multiple constituencies including campus offices, students, staff, faculty, etc.
Project management experience
Leadership skills to supervise staff, problem-solve complex issues, and strategically implement business policies
Federal grant, contract, or cooperative agreement proposal development.

Manage general office operations including but not limited to maintaining office supplies (including furniture), copier care, shipping/receiving, vehicle management, telecommunications requests, etc.
Track and report capital equipment
Serve as building proctor and facilitate maintenance or repair requests with CSU's facilities management
Organize official department functions and events (requires collaboration among multiple University departments and outside vendors)
Organize informal internal team meetings and/or social events (including scheduling, agendas, room reservation, etc.)
Independently create and revise office procedures and manuals to ensure that they are in compliance with established policies
Serve on departmental committees as a member and/or as administrative support
