Undergraduate Academic Affairs has an outstanding opportunity for an Academic Services - Assistant Director to join their team.
Within UAA, the Office of Merit Scholarships, Fellowships & Awards (OMSFA), housed in the Center for Experiential Learning and Diversity (EXPD), assists University of Washington undergraduates in developing the skills and personal insights necessary to pursue scholarships appropriate to their goals.
Our office:
Provides information and resources to increase student awareness of the scholarship search and application process via workshops, events, online resources and individual advising.
Mentors students through an intense process by offering resources, advising and individual feedback which result in competitive applications for local, national and international scholarships.
Collaborates with faculty and staff to identify and support potential student scholars.
OMSFA manages several internal UW scholarship programs, including the Mary Gates Endowment for Students. OMSFA also manages UW nomination processes for, and works closely with, national and international scholarship programs including: Astronaut Scholarship Foundation, Fulbright US Student Program, Gilman Scholarships, Goldwater Scholarships, Rhodes Scholarships, Truman Scholarships, and many others.

This Assistant Director position will lead the Mary Gates Endowment for Students Research Scholarships program, Community Investment Scholarships program, Mary Gates Endowment Partnerships, and manage the UW nomination process for the Astronaut Scholarship, which is a national undergraduate research scholarship. The Assistant Director will also play a vital role in the management of and advising for other national and international scholarships OMSFA supports.

We're seeking?an?Assistant Director who is community-minded and wants to make a difference in the lives of University of Washington undergraduates. The Assistant Director primarily counsels and advises scholarship applicants and recipients; plans, coordinates and manages the Mary Gates Research Scholarships and Community Investment Scholarships programs and application processes; manages the endowment's partnership programs; and conducts assessment and advancement activities related to the Endowment. This position develops programs and opportunities that enhance the value of being named a Mary Gates Scholar. This role will also counsel and advise students on how to get involved in undergraduate research, and lead workshops, information sessions and events related to a broader range of scholarship opportunities. The Assistant Director contributes to the work of the Center for Experiential Learning and Diversity and works in collaboration with the Office of Undergraduate Research.

DUTIES AND RESPONSIBILITIES
Scholarship Process Management & Student Engagement (50%):
Independently advise applicants on eligibility requirements, policies and application procedures for Mary Gates Research and Community Investment Scholarships, Astronaut Scholarships, and other scholarships through workshops and information sessions.
Advise students on getting involved in undergraduate research. Coach students to develop and articulate their ideas to improve their chances for success in scholarship application processes.
Design and lead workshops and information sessions to educate students, faculty, staff and community members about the purpose, eligibility requirements and application process for Mary Gates Endowment, Astronaut, and other scholarships.
Write and disseminate communications materials and online information to publicize and market the Mary Gates Endowment, Astronaut, and other scholarships.
In collaboration with the Program Manager for Mary Gates Leadership Scholarships, design and lead scholarship orientation sessions for awarded Mary Gates Scholars to establish expectations and requirements of the awards and to build community amongst the Mary Gates Scholars.
Refer students to other programs and offices which may be of interest to them in planning and fulfilling their academic and personal goals.
Connect current Mary Gates Scholars with scholar alumni for professional development and career planning purposes.
Oversight and Management (40%):
Direct and manage all aspects of the application and review processes for Mary Gates Research and Community Investment scholarships. The Mary Gates Research process also includes selection for Sedlock Icon Scholarships, Smith Endowment Scholarships and other scholarships with relevant research focuses. These processes include but are not limited to:
responding to inquiries;
managing, updating and troubleshooting online application systems;
recruiting, training and assigning faculty and staff review committee members.
monitoring and moving the application and review processes forward according to timelines.
notify applicants of results and manage award acceptance process.
Serve as UW's primary liaison with the Astronaut Scholarship Foundation. Manage the UW nomination process for the Astronaut Scholarships, support and advise nominees in developing competitive application materials for this national competition, host workshops for applicants and celebratory events for scholars selected.
Respond to ongoing inquiries about all Mary Gates Endowment Scholarship processes, policies and criteria, and Astronaut Scholarship nomination processes, from academic departments, faculty, mentors, reviewers, and applicants.
Collaborate closely with the Program Manager responsible for the Mary Gates Leadership Scholarship processes.
Oversee approval and disbursement of all Mary Gates Endowment scholarships (including Leadership Scholarships and Partnership programs), Sedlock Icon Scholarships and Smith Endowment Scholarships.
Manage data and record keeping for all aspects of the Mary Gates Endowment programs.?
Contribute to the creation of annual budget allocations for all Mary Gates Endowment programs, scholarships and discretionary funds. Track all expenditures.
Develop policies and advance initiatives that maintain the integrity of the Mary Gates Endowment and increase transparency for students and reviewers. Initiate review process improvement for Mary Gates scholarships.
Create and refine new processes and tools to increase access to scholarships and advising resources.
Oversee Mary Gates Endowment Partner agreements and planning, working
Participate in planning for required events that involve Mary Gates Scholars, such as the Undergraduate Research Symposium and the Spring Celebration of Service and Leadership.??Support students to present at these events.
Develop and lead annual scholarship reception to honor the Mary Gates Scholars awarded and to build community among Mary Gates Scholars and alumni.
Develop initiatives to enhance the community of Mary Gates Scholars, including improved communication with alumni and other leaders.? Create and organize activities, events and special opportunities for scholarship award recipients, including opportunities to share their work and learn from each other.
Design program initiatives and outline strategies to assess program impact. Review and analyze data for program improvement.
Support faculty, graduate student, postdoctoral, and community-based mentors of Mary Gates Scholars to provide high quality student experiences for scholars.
Supervise student staff and interns.
Initiative, Planning & Collaboration (10%):
Represent the Mary Gates Endowment for Students and the Office of Merit Scholarships, Fellowships, and Awards with internal and external audiences through workshops, events, in written format, and at regional and/or national conferences.
Collaborate with UAA and UW colleagues to advance new projects related to undergraduate experiential learning, leadership, and research.
Serve as a review committee member for other scholarship programs. Provide guidance and insight to other scholarship programs interested in improving their policies and procedures.
Serve on UAA or UW committees relevant to the work of the Mary Gates Endowment for Students as needed.
MINIMUM REQUIREMENTS
Bachelor's Degree
5+ years of experience in program development, student counseling/development, teaching, student services or related student-facing experience in a higher education environment
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Excellent written and verbal communication skills
Demonstrated experience with Microsoft Word, Excel, and database systems
DESIRED QUALIFICATIONS
Experience managing scholarship processes
Direct professional experience with undergraduate research programs
Demonstrated understanding and experience with website maintenance
Extensive experience managing a relational database
