JOB SUMMARY
This position is responsible for clerical operations, website, advertising and data management of the Grand County Extension Office.
ESSENTIAL JOB FUNCTIONS
? Answers and directs phone calls.
? Collects and distributes mail, prepares outgoing communications such as memos, emails, invoices, reports and other correspondence.
? Copies correspondence or other printed materials.
? Evaluates and suggests edits for distribution materials.
? Organizes and maintains filing systems (computer and physical).
? Provides customer assistance, greets visitors and dispenses information as needed.
? Conducts research and collects information.
? Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, records and transcribes meeting minutes.
? Operates office equipment; schedules equipment maintenance when necessary.
? Orders supplies and office equipment as needed.
? Uses financial management software including Incode, QuickBooks, and Kuali to manage accounts.
? Reviews account payables and receivables for accuracy; provides necessary research, correspondence and information, evaluates and updates financial policies.
? Tracks County and Extension budgets; completes and organizes vouchers.
? Handles cash accounts, maintains records of income and disbursements; prepares bank deposits and reconciles accounts.
? Performs data entry, assists with data management and reporting.
? Serves as liaison with Information Technology to solve computer problems.
? Performs basic video editing and creates and produces educational videos.
? Manages social media accounts including Facebook and YouTube.
? Creates newsletters and other advertising/marketing materials for 4-H and Extension programming using Canva.
? Creates documents, spreadsheets, maps, and signage for county fair and other events.
? Maintains and routinely modifies Grand County Extension website and manages 4honline and Fairentry.
? Coordinates site rentals, maintains fairgrounds event schedule, distributes grounds rental contracts information, and receives rent and deposits.
? Attends training and department meetings when required.
? Supports the 4-H program by creating and filing forms and waivers, provides transportation, and other tasks as needed.
? Assists with County Fair and may provide administrative support for Fair Board.
? Performs other related job duties as assigned.
QUALIFICATIONS
Education and Experience:
High school diploma or general education diploma (GED), but Associates degree is preferred; and one (1) year general office experience including experience in data base operation and/or training; or an equivalent combination of education and experience.
Special Qualifications:
Possession of a valid, State of Colorado driver's license. Requirement exists at the time of hire and as a condition of continued employment.
Knowledge, Skills and Abilities:
? Skill in bookkeeping; public relations; verbal and written communication; general office procedures; communicating with the general public and department supervisors; preparing reports; maintaining records; and operating office equipment.
? Skill in office computer usage with experience in database operations.
? Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
? Ability to write reports, business correspondence, and procedures.
? Ability to effectively present information and respond to questions from groups of managers, vendors and the general public.
? Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
? Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.? Ability to deal with problems involving several concrete variables in standardized situations.
? Ability to establish and maintain effective working relationships with fellow employees, the public, supervisors and other County officials.
PHYSICAL DEMANDS
The work is light work which requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force to move objects. Additionally, this position also requires the ability to regularly talk and hear; frequently stand, walk; sit; use hands to finger, handle, or feel; and reach with hands and arms; use close vision, color vision, peripheral vision, and to adjust focus.
WORK ENVIRONMENT
The noise level in the office work environment is usually moderate. The employee may be occasionally exposed to moving mechanical parts and risk of electrical shock.
