Job Title: Facilities Administrator

Job Description

Serve as the administrative and planning support for the Facilities department, ensuring accurate documentation, scheduling, and coordination of maintenance activities and compliance records.

Responsibilities

Create and schedule work orders and preventive maintenance (PM) tasks.

Maintain calibration records and GMP documentation.

Organize and update EHS, FM Global, and regulatory compliance records.

Track janitorial services, employee training materials, and service records.

Manage asset and equipment notification forms and route documents for approval.

Maintain vendor safety training logs and visitor records.

Monitor and report on Key Process Indicators (KPIs).

Manage spare parts inventory using SAP.

Process purchase orders (POs) and goods receipts.

Coordinate kitting and warranty tracking.

Essential Skills

Proficiency in work order management and scheduling.

Experience with Computerized Maintenance Management Systems (CMMS).

Strong reporting and administrative skills.

3+ years of experience in a facilities coordinator capacity.

Additional Skills & Qualifications

High School Diploma.

Work Environment

The role is based in a GMP Manufacturing setting located in Congers, NY. Working hours are Monday through Friday, from 8:00 AM to 4:30 PM. The position offers room for growth with opportunities to take on additional responsibilities and receive yearly raises.

Pay and Benefits

The pay range for this position is $20.00 - $28.00/hr.
