Description of Job
Job Summary:
The Special Events Coordinator role is designed to provide support to the Special Events Manager and assist with pre-event operational support, contracting and billing support, pre-event communications, and customer service.
Essential Job Functions:Special Events Operational Support:
Provide scheduling availability of event venues and generate reservations in the scheduling software (EMS) as directed by Special Events Manager.
Enter reservation details including setup, AV needs and event timeline.
Create and edit floor plans for both client and Event crew use.
Clear and accurate communications to the Event Crew regarding event needs.
Coordinate Auraria Campus support services for events such as ACPD coverage, Parking requests, etc.
Knowledge of event spaces and their functions as well as guidelines and restrictions for use.
Facilitate basic site visits and client meetings as needed based on directive from Special Events Manager.
Administrative Support:
Proficient use of the scheduling (EMS) and diagraming (Social Tables) software.
Generate rental agreements/contracts for commercial clients.
Assist in managing payments and invoicing for rental agreements.
Finalize charges associated with Auraria Campus support services (ACPD, Parking, etc.) as they pertain to events.
Customer Service:
Share event knowledge and understanding of the Department of Special Events policies and procedures in order to provide support to external clients as needed.
Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
Minimum Qualifications:
Bachelor's degree in Hospitality Management, Business, Public Relations or related field.
OR
One (1) or more years experience working in a Hospitality/Customer Service.
Preferred Qualifications:
General knowledge/experience working in event scheduling software.

Years of experience will be expressed in terms of full-time equivalent service with full-time workload equal to one (1) Full-Time Equivalent (FTE) year. Positions working 40 hours or less per week will be pro-rated (30 hrs/wk=0.75 FTE=9 mos credit; 20 hrs/wk=0.5 FTE=6 mos credit; 10 hrs/wk=0.25 FTE=3 mos credit.)
