BASIC FUNCTIONS : The Cloud Collaboration Engineer oversees and enhances Fairfield University's cloud-based collaboration ecosystem, with a core focus on Microsoft 365 (M365), Google Workspace, and Dropbox platforms. This role ensures secure, reliable, and optimized services for communication, file sharing, and productivity across the University. Collaborating with the Infrastructure Systems Team, the Cloud Collaboration Engineer designs and implements solutions using M365 tools (Exchange Online, Teams, SharePoint), Google Workspace (Docs, Drive), and Dropbox, aligning with institutional goals for efficiency, security, and compliance.
PRIMARY RESPONSIBILITIES
Cloud Platform Administration and Optimization
Administer and optimize M365 services (Exchange Online, Teams, SharePoint) for email, collaboration, and data sharing. Manage Google Workspace (Docs, Drive, Gmail) and Dropbox to support seamless file access and productivity.
Configure and maintain third-party add-ons and integrations from the M365 marketplace, Google Workspace Marketplace, and Dropbox integrations to enhance functionality and user experience.
Administer licenses for M365, Google Workspace, and Dropbox, ensuring compliance, cost optimization, and appropriate user access levels.
Manage security groups within M365 and Google Workspace to control access, enforce policies, and maintain data security.
Design automation workflows using Power Automate and Google tools to streamline University processes.
Monitor and tune platform performance to ensure high availability and responsiveness for all users.
Regularly review performance metrics and implement optimizations to address bottlenecks or scalability issues.
Coordinate regular updates and patch management across M365, Google Workspace, and Dropbox environments.
Configure and manage AI Tools, including Microsoft Copilot within M365 and Gemini (Duet AI) within Google Workspaces to enhance productivity through AI-driven insights and task automation.
Collaboration and Integration
Collaborate with senior leadership to configure and integrate M365, Google Workspace, and Dropbox with University systems to deliver seamless access, enhanced functionality, and cohesive interoperability across all platforms.
Enhance collaboration by managing Teams, SharePoint sites, Google Drive, and Dropbox shared spaces for faculty, staff, and students.
Work with ITS teams to align cloud collaboration strategies with University IT objectives.
Facilitate cross-platform data migration and interoperability (e.g., M365 to Google Drive, Dropbox syncing).
Test and deploy new features or third-party integrations to enhance collaboration capabilities.'
Integrate Microsoft Copilot within M365 and Gemini (Duet AI) within Google Workspaces to enable AI-assisted content creation and real-time collaboration.
Security and Compliance
Implement security and compliance policies across M365 (Endpoint Manager, Compliance Center), Google Workspace, and Dropbox.
Manage identity, permissions, and data governance to protect University data and ensure alignment with regulatory standards (e.g., FERPA).
Monitor platform health, usage, and security, generating reports to address issues and optimize performance proactively.
Configure Conditional Access policies in M365 and Google Workspace to enforce secure access based on device compliance and user risk.
Oversee MDM via Microsoft Endpoint Manager to manage devices, enforce security profiles, and ensure platform compliance.
Conduct risk assessments and implement multi-factor authentication (MFA) across all platforms.
Ensure AI Tools adhere to data governance and security policies, managing AI access and usage controls.
Maintain audit logs and documentation for compliance audits and security reviews.
Support, Documentation, and Training
Provide end-user support for M365, Google Workspace, and Dropbox, troubleshooting issues and ensuring adoption.
Develop and maintain documentation for configurations, policies, and best practices across all platforms, including MDM and Conditional Access.
Deliver training to ITS staff and users on effectively using cloud collaboration tools and secure device access.
Serve as an escalation point for complex technical issues related to collaboration platforms.
Create user guides and FAQs to reduce support tickets and improve self-service adoption.
GENERAL RESPONSIBILITIES
Stay informed on emerging cloud collaboration, MDM, and security technologies (e.g., M365, Google Workspace, Dropbox, Conditional Access), sharing insights with peers to drive continuous improvement.
Provide timely support to campus users, resolving technical issues via phone, in-person visits, or remote diagnostics.
Uphold a safe and secure work environment by promoting proper equipment use, reporting hazards, and adhering to safety protocols.

Represent ITS as a collaborative and service-oriented partner within the university community, aligning with departmental goals of efficiency and excellence.
Attend training, seminars, and team meetings to expand expertise in cloud collaboration, MDM, and security practices and enhance technical and communication skills.
Serve as an advocate for adopting new cloud technologies, promoting the benefits of tools like M365, Google Workspace, and emerging platforms to faculty, staff, and students, fostering innovation and driving digital transformation across the University.
UNUSUAL WORK CONDITIONS : Occasional after-hours work and on-call availability may be required to support system upgrades, maintenance windows, or critical incidents.
EDUCATION : Bachelor's degree in Information Technology, Computer Science, or a related field. Microsoft certifications such as M365 Certified: Enterprise Administrator Expert, M365 Certified: Messaging Administrator, or similar are preferred.
KNOWLEDGE, SKILLS, AND EXPERIENCE :
3+ years of experience managing cloud collaboration platforms, with deep expertise in M365 (Exchange Online, Teams, SharePoint), Google Workspace, and Dropbox.
Proficiency in security and compliance tools (e.g., Endpoint Manager, Google Admin, Dropbox Business settings) and automation (Power Automate).
Strong ability to troubleshoot, optimize, and integrate cloud services for performance and user experience.
Experience configuring SSO, MFA, and identity management across multiple cloud platforms.
Skilled in implementing MDM solutions (e.g., Microsoft Endpoint Manager) for device management and policy enforcement.
Expertise in designing and managing Conditional Access policies to secure access based on device state and user @context.
Ability to leverage AI tools like Microsoft Copilot within M365 and Gemini (Duet AI) within Google Workspaces to enhance collaboration, productivity, and user support.
Skilled in analyzing usage data and logs to identify trends, risks, and optimization opportunities.
Knowledge of cloud platform APIs and integration techniques for custom workflows.
Excellent interpersonal skills to collaborate with ITS teams and deliver clear training/documentation to end-users.
Ability to manage multiple priorities and adapt to evolving technology needs in a fast-paced environment.
PREFERED EXPERIENCE :
Scripting experience (e.g., PowerShell) for M365 or Google environments automation.
Certifications like Microsoft 365 Certified: Teams Administrator Associate, Google Professional Collaboration Engineer, or equivalent.
