Job Title: Administrative Assistant (Entry-Level)

Reports To: Office Manager

FLSA Status: Non-Exempt

Department: Admin

Summary:** We are seeking a detail-oriented, organized, and personable Administrative Assistant to manage front office operations and accounts payable processes. This entry-level role is perfect for someone eager to grow in a dynamic office environment, with a focus on financial accuracy and exceptional customer service.

Essential Duties and Responsibilities

Reception Duties:

o Act as the primary point of contact at the front desk: greet visitors warmly, answer and direct phone calls professionally, and manage incoming/outgoing mail and packages.

o Maintain a tidy and welcoming reception area to ensure a positive first impression.

o Coordinate visitor sign-ins and ensure compliance with office security protocols.

Expense Management Duties:

o Reconcile Expense Management/Credit Card transactions and assist with monthly account reconciliation reports.

o Assist in preparing reports related to Expense Management for management review.

Additional Responsibilities:

o Order and maintain office supplies, ensuring cost-effectiveness and availability.

o Support weekly lunch meetings by ordering and managing meal logistics.

o Assist with new hire onboarding, including preparing materials and coordinating schedules.

o Complete special projects and administrative tasks assigned by management.

Qualifications:

High school diploma or equivalent required.

Strong attention to detail and accuracy, particularly in financial and administrative tasks.

Excellent written and verbal communication skills for professional interactions with vendors, clients, and colleagues.

Friendly, approachable demeanor with a customer-service mindset for client-facing interactions.

Ability to prioritize tasks, multitask, and thrive in a fast-paced environment.

Willingness to learn accounts payable software and other office systems.

Previous experience in accounts payable, receptionist duties, or general administration is a plus but not required.

Computer Skills:

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).

Familiarity with ERP Systems, such as Computer Ease by Deltek is a plus but not required.

Salary and Benefits:**

$20 to $22/Hour depending on experience.
