Administrative Support Coordinator

Career Opportunity:

Smurfit Westrock West Point Mill is currently seeking an Admin support coordinator to perform, payroll, operations and maintenance scheduling, and various other administrative/clerical duties that may require considerable experience, skill and knowledge of Mill organizational policies and operational practices.

How you will impact WestRock:

Process Weekley payroll; working closely with supervisors to ensure accurate coding, running system reports, submitting pay corrections and other timekeeping related duties

Prepares correspondence, memoranda, reports, etc.

Screens telephone calls and receives and directs visitors; may resolve routine inquiries

Schedules and maintains calendar of appointments and meetings.

Completes and distributes reports

Maintains and posts the weekly work/shift schedules for Operations and Maintenance

Collaborates with cross-functional teams at the facility, (HR, Storeroom, Quality, and Safety) to implement corporate and facility initiatives.

Provide support for recruiting activities

Responsible for the administrative aspects of the human resources function including maintaining employee records, filing, meeting set-up support, and resolving routine employee inquiries

Orders office supplies for department; maintains office equipment (fax machine, copier, printers, etc.)

Updates department\u2019s organization charts and maintains department employee contact/ phone lists, etc.

Coordinates all arrangements for department meetings

Order/coordinate lunches, as needed, for department meetings and training, interviews, etc.

Keep inventory of prizes for and coordinate employee recognition - daily/weekly

Maintain and send out Maintenance Draft Lists for Mechanical and E/I weekly

Aid Mill leadership in planning/preparing for events - Budget Review, HROD

Update documents on SharePoint Site

Assign/Update Employee badges

Update Mill Phone Directory

Mill Holiday Lists

Mill Calendars - Shift Vacation Calendar, Shift Poster Calendar

What you need to succeed:

Two-year accounting/finance/business degree preferred

Office support experience work in a manufacturing environment preferred

Inventory administration

Timekeeping and/or payroll experience preferred.

Experience with Microsoft Office to include Excel (creation of spreadsheets), PowerPoint (ability to do presentations), and Word (document creation).

Excellent problem-solving capability

Strong organizational and leadership skills

Ability to understand, support and enforce administrative, operational, and technical policies

A sense of area ownership and urgency to act when required

Requires effective written and oral communication, the ability to communicate effectively across all departments

Strong customer service orientation
