Overview:

The Accounts Payable I Specialist plays a key role in maintaining accurate financial records, ensuring timely vendor payments, and supporting the companys financial operations. This position requires strong attention to detail, organizational skills, and the ability to collaborate with both internal departments and external vendors.

Key Responsibilities:

Essential duties and functions, pursuant to the Americans with Disabilities Act, include and are not limited to the following:

Invoice Processing and Payments

Review, process, and record accounts payable transactions accurately and on time.

Match purchase orders with invoices and ensure supporting documentation is complete.

Code invoices in accordance with company procedures and accounting standards.

Calculate and prepare checks, ACH payments, and other disbursements.

Vendor Relations

Maintain vendor files (both paid and unpaid).

Reconcile vendor statements and resolve outstanding transactions and discrepancies.

Communicate with vendors to address inquiries and payment issues in a timely and professional manner.

Mail vendor checks and remittance advices as required.

Financial Controls and Reporting

Document receipt of goods and services invoiced by vendors.

Reconcile Inventory in Transit and Received Goods Not Invoiced.

Assist with payroll processing.

Maintain financial security by following established internal accounting controls.

Support month-end and year-end closing processes.

General Duties

Comply with federal, state, and company policies, procedures, and regulations.

Perform other duties as assigned by supervisor or manager.

Qualifications: Minimum Preferred Qualifications, pursuant to the Americans with Disabilities Act, include and are not limited to the following:

Minimum Qualifications

High School Diploma or GED.

Ability to perform basic accounting and clerical functions accurately.

Strong written and verbal communication skills.

Preferred Qualifications

Associates degree in Accounting, Finance, or related field

1-2 years of experience in accounts payable, bookkeeping, or general accounting.

Familiarity with ERP/accounting software (Made2Manage preferred; SAP, Oracle, or QuickBooks also acceptable).

Proficiency in Microsoft Excel (including pivot tables, formulas, and data entry) and Microsoft Office Suite.

Knowledge of general accounting principles and practices.
