Job Summary
The Rackham Graduate School seeks a Student Administration Assistant Associate to serve as a member of the Admissions, Academic Records & Dissertations (AARD) team. This position serves as the first point of contact for the AARD information desk, answering the information desk telephone and responding to email inquiries to address questions and concerns and assisting in advising students and other walk-in guests regarding Rackham Graduate School policies and procedures, directing guests to the appropriate people in the Rackham building or another campus resource. The selected candidate will also spend approximately 65% of their time providing administrative support to all aspects of the graduate admissions process as well as the academic records and dissertation processes.

This is a three-year term-limited position with the potential of being converted to an open ended position based on operational needs and available funding.

Responsibilities*
Serve as the first point of contact for the AARD information desk. This position answers the information desk telephone and responds to email inquiries to address questions and concerns. Assists in advising students and other walk-in guests regarding Rackham Graduate School policies and procedures and directs guests to the appropriate people in the Rackham building or another campus resource. Assist in advising graduate program staff regarding policies and procedures. Collect data to support management decisions. Support the process of developing and testing the performance of online systems.
Provide administrative support to graduate admissions processes. Tasks include entering application data into the Student Administration System, MPathways, from the applications that are provided in paper and electronic formats. Assisting with processing recommendations of admission provided by the graduate programs; verifying Rackham graduate admission requirements are met, finalizing the admission status in the Student Administration System, M-Pathways, and ordering outgoing communications to inform applicants of their status. Assisting in verifying and determining the acceptance of international financial documents, entering data into the Student Administration System to create the I-20 immigration form for non-U.S. citizens who need an F-1 visa and ordering outgoing communications to incoming international students.
Support data verification processes for graduate admissions: Ensure data and document matching to allow all documents, including test scores, transcripts, letters of recommendation, essays and other application documents, for an individual to be combined into one file. Determine the cause of documents not matching the correct applicant's file and address the root cause.
Administrative support to graduate academic records and dissertations processes: Review transcripts and documents for authenticity and enter the data into the Student Administration System, M-Pathways. Enter evaluations submitted from each dissertation committee member for a student's dissertation defense into M-Pathways. Enter the confirmation of a student's defense and dissertation committee approval dates into M-Pathways. Image these confirmation documents into a student's imaged file.
Credential Evaluation: Evaluate transcripts; U.S. and non-U.S., including dual degree enrollments, for Bachelor's and Master's degree equivalency. Calculate the equivalent of a U.S. grade point average on a 4.00 scale. Review non-U.S. transcripts and financial documents for acceptability; verify authenticity and sufficient funds to cover tuition and living expenses. Assist with the research of institutions for accreditation and level of educational degrees offered.
Required Qualifications*
High school education or equivalent and two years of work experience.
Demonstrated commitment to exceptional customer service and process improvement.
Proficiency in utilizing database management systems as well as Microsoft Office products and Google suite of applications.
Strong attention to detail and analytical skills.
Demonstrated ability to take initiative to resolve problems effectively.
Ability to organize and prioritize work. Handle multiple tasks with efficiency.
Familiarity with Rackham Graduate School Admissions and Academic Policies and procedures
Excellent interpersonal communications skills; oral and written.
Ability to work independently and in a team environment. Strong interest in ongoing professional development.
Ability to maintain confidentiality, exercise discretion, and handle people with diplomacy under stressful situations and in matters of a sensitive and confidential nature.
Knowledge of and strong personal commitment to shared teamwork, continuous business process improvement, and professional development.
