Job Summary:
The Administrative Assistant position reports to the Director of Operations. This position will assist in administrative duties, prepares reports, and work on special projects. The work performed by individuals in this job is confidential. The successful candidate will be passionate about supporting and driving the Company's Values, RIGHT: Respect, Integrity, Growth, Honesty and Teamwork.
Work Performed:
Write and edit communications, to include but not limited to, letters, emails, and instructional documents,
Prepare for final approval general correspondence, Company, and Government required reports.
Review and prioritize incoming mail.
Organize and maintain files.
Utilize Outlook calendars and other office tools to organize, coordinate and schedule recurring and special meetings with numerous internal and external parties.
Anticipate and addresses meeting needs in advance of the meetings.
Assist the Director of Operations in scheduling and coordinating special events.
Assist Director of Operations with bid requests. Update information for such bids as necessary. Prepare such reports, organize, and bind material to be submitted.
Prepare Purchase Requisitions. Prepare Purchase Orders for USA and place appropriate orders.
Prepare Work Orders for USA and monthly expense reports.
Update various forms when necessary.
Compile necessary information for reports to Middlesex Water Company.
Prepare Daily Time Sheets.
Place service calls when office equipment is not working properly and follow through. Order office supplies when necessary.
Keep a record of accounts that have been turned off.
Answer and screen telephone calls. Refer callers to Director's subordinates where possible.
Communicate with customers in a professional and courteous way.
Communicate with the Superintendents and Foremen and/or the road crew via phone and dispatch personnel in accordance with instructions provided.
Look up customer's account information on the EDMUND system and provide to field personnel as needed to facilitate response.
Maintains records of customer inquiries and complaints.
Maintains an inventory of the necessary office supplies and stationeries without exceeding the approved budget.
Other duties as required.
Qualifications:
High school diploma or equivalent, required.
Associate's Degree or two years of acceptable administrative assistant experience, desired.
Valid Driver's License, required.
Advanced knowledge and skillset in the use of Microsoft Office to include but not limited to Word, Excel, and Outlook.
Ability to compose own correspondence, good grammar and spelling skills.
Ability to speak, understand and write Spanish is required.
Ability to multi-task, file efficiently, and possess good listening skills.
Ability to work in a diverse environment and adapt to different work styles.
Minimal opportunity to work remotely give the need for an on-site presence during the work week while field personnel are not present.
Compensation & Benefits:
Salary Range: $20,727.00 - $31,096.00 annually, based on experience and qualifications.

Physical Requirements:
This position requires constant operation of a computer and other office equipment such as printers, copiers, calculators.
Must have the ability to visually inspect and review hard copy and online documents.
Must be able to communicate, detect, converse with, discern, convey, express oneself, discuss and exchange information.
Use written, verbal and audio communication and information sources.
Must be able to occasionally move about inside the office and use stairs to access file cabinets, office machinery, etc.
Must be able to remain in a stationary position 50_ % of the time
