Position Summary

The Accounts Payable Specialist will be responsible for managing the full-cycle accounts payable process, ensuring timely and accurate processing of vendor invoices, employee expense reimbursements, and payment disbursements. This role requires excellent organizational skills, attention to detail, and a proactive approach to problem-solving.

Key Responsibilities

Process high-volume vendor invoices accurately and efficiently in the accounting system.

Review and verify invoices, ensuring proper coding, approvals, and compliance with internal policies.

Manage weekly payment runs (ACH, wires, and checks) and ensure timely disbursement.

Reconcile vendor statements and resolve discrepancies in a timely manner.

Respond to vendor inquiries and maintain positive vendor relationships.

Process employee expense reports and ensure adherence to company policy.

Assist with month-end closing procedures, including accruals and account reconciliations.

Maintain organized AP records for audit and reporting purposes.

Support internal and external audits with documentation and reporting.

Collaborate with procurement, finance, and other departments to ensure process efficiency.

Requirements

Qualifications

Required:

2-4 years of accounts payable experience in a corporate or mid-sized business environment.

Proficiency in accounting software (e.g., NetSuite, SAP, Oracle, QuickBooks).

Strong Microsoft Excel skills (pivot tables, VLOOKUP, data sorting/filtering).

Excellent organizational and time-management skills.

High attention to detail and accuracy.

Strong interpersonal and communication skills.

Ability to maintain confidentiality and exercise discretion.

Preferred:

Associate's or Bachelor's degree in Accounting, Finance, or a related field.

Experience with expense management platforms (e.g., Concur, Expensify).

Knowledge of GAAP and internal control practices.

Familiarity with 1099 processing and California sales/use tax.

Work Environment & Schedule

Hybrid schedule: 3 days onsite in San Mateo office, 2 days remote.

Standard hours: Monday to Friday, 8:00 AM - 5:00 PM.
