Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
High school diploma or GED with a minimum of 4 years of related experience.
Higher education experience, including the use of office productivity tools, digital collaboration platforms, website content management systems, and Texas State University systems such as SAP , Banner, Cats Web, Gato, and BOSS .
English proficiency: excellent reading, writing, typing, and oral communication skills with faculty, staff, students, and external partners.
Experience supervising and delegating tasks to student workers and/or support staff; and planning/coordinating events
Knowledge of administrative processes, including budgeting, P-card management, event logistics, and faculty support tasks
Ability to work collaboratively as part of a team, and maintain positive relationships with internal and external stakeholders
Preferred Qualifications
Bachelor's Degree
Experience supporting academic or research program operations, including coordination with faculty, students, and administrative offices.
Experience making sound administrative and operational decisions in compliance with University administrative policies and procedures.
Experience with budgeting, financial processes, and recordkeeping.
Experience with website content management and internal communications.
Experience with data management and administrative reporting; ability to organize and interpret information to support center operations.
Job Description
The Administrative Assistant III provides advanced administrative and program support for the day-to-day operations and overall efficiency of the Center for Analytics & Data Science ( CADS ). This position is responsible for managing financial and administrative processes, supporting student and staff activities and coordinating events. The role also assists with communications and serves as a liaison with other university offices. Work is performed with limited supervision and requires strong organizational and communication skills.
Job Duties
Operations & Administrative Support: Manage administrative tasks, budget transfers, and P-card documentation; ensure compliance with university policies.
Student Engagement & Supervision: Oversee CADS student initiatives, and recruit, onboard, and supervise student workers.
Communications & Outreach: Develop internal digests and announcements, update website content, and manage digital collaboration platforms.
Event Coordination: Plan and execute logistics for seminars, workshops, and the annual Spring Conference; prepare agendas and materials.
Faculty & Lab Support: Provide administrative assistance to CADS faculty and support operations for the CADS Data & AI Lab.
University Liaison: Coordinate with Texas State support offices such as HR, IT, and Research to facilitate administrative processes.
Advisory & Internal Support: Prepare materials and provide administrative support for advisory meetings and internal program activities.
Recordkeeping & Tracking: Maintain records of financial transactions, event outcomes, and student engagement activities.
Additional Information to Applicants
This position may be eligible for a flexible work arrangement, including up to 1-2 days of hybrid work per week, in accordance with applicable university policies and state guidelines.
This position is performed with limited supervision and requires strong organizational and communication skills.
