Experience with computer software specific to administrative and clerical support tasks (for Texas State employees examples include software such as SAP , Concur, AIM , Banner, CourseLeaf, 25Live, Slate and Canvas; for other candidates this includes software related to performing job-related administrative and clerical support tasks in prior employment).
Experience working as a team member and interacting with colleagues in a courteous manner, using good judgement and initiative to support individual and teamwork goals.
Multitask, prioritize tasks effectively, and meet deadlines within a fast-paced environment.
Take initiative and work independently under moderate to little supervision on varied and potentially complex tasks and assignments.
Prepare clear, concise, and grammatically correct correspondence and documents.
Demonstrated discretion and confidentiality in handling sensitive issues and information.
Preferred Qualifications
Experience working in higher education at a college or university.
Knowledge of Texas State University policies and procedures.
Strong customer service skills in interacting courteously and confidentially with others when answering phones and in person.
Skilled in preparing clear, concise and grammatically correct correspondence, proofreading and formatting of documents and spreadsheets.
Ability to multitask, working under pressure to meet deadlines while coping with frequent interruptions.
Experience with assisting and/or coordination with event/meeting planning, working within a budget, and preparing purchase orders.
Job Description
Responsible for providing administrative and general clerical support within the Department of Counseling, Leadership, Adult Education & School Psychology. This includes primary support responsibilities for graduate programs with CLAS and other department duties as assigned. This position is in person on the San Marcos campus.
Job Duties
The Administrative Assistant II provides administrative support to students, faculty, and staff within a specific program.
Create a welcoming environment for programs and greet students, faculty, and visitors to the office. Respond to incoming phone calls and emails for the programs. Provide guidance or referrals to students, faculty, and visitors, as needed.
Make purchases for the programs and department, process reimbursements, and submit forms and payments for independent contractors in a timely manner. Ensure that expenses and receipts are sufficiently tracked, submitted, and reconciled according to university procedures.
Reserve rooms and assist with faculty meetings, department, and program events as needed.
Enter course registration, scheduling, and room reservation information for upcoming semesters. Make changes to course information, as needed. Process override requests with appropriate approval from program faculty.
Provide information to prospective students about admissions, registration, override requests, and basic program-related information. When needed contact non-registered students to increase registration. Support programs in admissions procedures.
Prepare travel requests, mileage reimbursement, and expense reports for students, faculty, and staff. Ensure student and faculty travel spreadsheets are accurate and complete on a weekly basis. Support faculty candidates by making travel, transportation, and lodging arrangements.
Maintain doctoral spreadsheet on a monthly basis and ensure information is accurate and complete.
Develop partnerships with university and community contacts so you can more effectively complete administrative tasks. Send partnership agreements as needed to identified stakeholders and track signatures for prompt completion.
Assist programs and department with additional administrative duties, as needed.
