Position Overview

Robert Half is seeking an administrative assistant for our client in the Knoxville area to support their training department. This a full-time, onsite, and contract-to-hire opportunity.

Key Responsibilities:

Assist the Training Superintendent with daily administrative tasks, including preparing and printing training workbooks and exams.

Scan completed exams and training documentation into appropriate employee records, ensuring accuracy and organization across multiple work sites.

Organize and maintain both physical and digitized employee training files to meet compliance requirements.

Collaborate with various site teams to standardize training documentation.

Regularly update and format training materials using Microsoft Word and Excel.

Ensure confidentiality of employee records and sensitive information.

Track and monitor deadlines for training-related tasks, providing timely reminders to the team.

Identify opportunities for process improvement in file organization and training documentation systems.

Requirements

Qualifications and Skills:

Proven experience in an administrative support role.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Familiarity with file scanning and general document management.

Strong attention to detail and organizational skills.

Ability to work independently, prioritize tasks, and meet deadlines.

Strong communication skills and the ability to collaborate effectively with a team.

Punctual, reliable, and adaptable to changing priorities.

Commitment to maintaining confidentiality of sensitive information.
