DESCRIPTION OF DUTIES/ESSENTIAL FUNCTIONS
The Houston Public Library is seeking a dynamic and customer service driven individual to serve as the Administration Manager of Special Events. The Special Events team coordinates private and corporate events in Houston Public Library's historic properties as well as major events for Houston Public Library.
Principal Responsibilities of the Administration Manager (Special Events) include:
Coordinate the logistics of HPL major events activities including developing and managing runs of show, coordinating logistics for guests, speakers, performers, and VIPs; managing and supervising special event support staff, schedule calendar, securing permits, building security, building engineers, HVAC, and facilities maintenance personnel and vendors; and coordinating as necessary with other HPL divisions and COH departments.
Coordinate the logistics of private and other non-HPL events activities, including managing and supervising special event support staff, schedule calendar, securing permits, building security, building engineers, HVAC, and facilities maintenance personnel and vendors.
With good judgment, ascertain event requests are appropriate to hold in the Houston Public Library facilities and the City of Houston facilities.
Prepare Rental Agreements, monitor and track rental payments, payment deposits, and record of all account activities.
Manage HPL event activities including Programming, Spaces, and HPL Plaza events
Seeks out new clients and sales opportunities, initiating action plan to advance and procure new business and rental opportunities.
Performs other related duties.

WORKING CONDITIONS:
The position is physically comfortable, the individual has discretion about walking, standing, etc. There are no major sources of discomfort, i.e., essentially normal office environment with acceptable lighting, temperature and air conditions. Requires the ability to make simple gross motor responses within large tolerances.
MINIMUM REQUIREMENTS
EDUCATIONAL REQUIREMENTS:
Requires a Bachelor's Degree in Business Administration, Accounting, Political Science, Psychology or a closely related field.
EXPERIENCE REQUIREMENTS:
Six (6) years of pertinent, progressive professional experience in personnel, administration, accounting or a closely related field are required.
A Master's Degree in Business Administration, Public Administration or a field closely related to the work being performed may be substituted for two years of experience. Directly related professional experience may be substituted for the education requirement on a year-for-year basis.

Excellent Customer Service skills
Experience with event planning and coordination.
Abilities to manage projects and prioritize requests from a variety of people.
To better serve our diverse communities, fluency in a foreign language is highly preferred (Spanish, Chinese, Vietnamese, Arabic, French).
Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.
