Description

We are currently seeking an experiencedFINANCE ADMINISTRATOR in our Calibration Department.

Responsibilities of a Finance Administrator:

Daily reviewing online work orders and invoicing customers according to their purchase order requirements

Scanning and/or emailing customer invoices

Scan file folders, renaming and storing to appropriate software databases.

Some customer invoice collections

Able to communicate with clients daily, project coordinator for a couple of our large customers.

Assist with other administrative duties as needed.

Run credit card payments, add invoices to Wells Fargo online payment portal.8/2025 ON HOLD for now- no access

Request training records from technicians and update the company matrix for all calibration branches.

Maintain mechanical, dimensional, electrical calibration procedures. Update as needed.

Soft collection efforts - sending invoice copies along with email to customers.

Gather, update, and organize all completed project files, ensuring they are accurately prepared to invoice.

Analyze data to track and identify completed orders that are awaiting invoicing.

Update the meta data on the invoice processing page in SharePoint. Verify each invoice has a matching PO which has been received in Traverse and create a file containing the vendor invoice, ATS PO, and packing slip. Submit the file for approval. Once approved, create invoices from the purchase orders in Traverse as well as manually create invoices for non-PO vendor invoices. Email purchase order and payables batch to A/P.

Qualifications

The finance administrator position requires that you possess the following core competencies:

Knowledge of basic office equipment required.

Demonstrated proficiency using Microsoft Office (Word, Excel, data entry knowledge)

Strong initiative, with the ability to stay focused and proactive while working independently.

Focus on detail and accuracy is a must. Patience is a must.

Professional phone etiquette, excellent typing, verbal, and written communication skills

Ability to calculate figures and amounts such as discounts and percentages.

Ability to successfully multi-task and understand how to prioritize work.

Must be a quick learner and become familiar with new software and processes.

Ability to work an 7:30am-4:00pm work shift, Monday through Friday.
